Requires at least a baccalaureate degree in the field. Please contact your Human Resources office for an evaluation of education/experience in lieu of the required minimum qualifications.
Preferred Qualifications

  • Three plus years of full-time professional experience in relationship management, prospect research, development, sales, marketing, business administration, higher education, or project management
  • Advanced degree in a field demonstrated to have some relevance to this position
  • Knowledge of University policies and procedures
  • Previous development experience and/or a background in a non-profit or educational institution are preferred
  • Blackbaud CRM or other fundraising software experience desirable
  • Experience using Qlik Sense (analytics software platform)

Position Summary
Reporting to the Senior Director of Prospect Management, the Prospect Management Specialist will prioritize and leverage Prospect Management's resources to support the university's ongoing fundraising efforts. Specifically, this individual will provide decision and process support for Prospect Management in guiding practices and procedures. As such, this individual will be essential for consulting with major gift officers and filling the need to provide training and consultation to annual gift officers, leadership officers, and development coordinators.
The Prospect Management Specialist will support and promote the Prospect Management program, directing strategy meetings, routine reporting on cultivation activities, and developing solicitation strategies. To assist fundraisers in achieving an effective and healthy balance in their portfolios, a Prospect Management Specialist must be available on an as-requested basis to any development officer and conduct scheduled portfolio reviews. This individual will also oversee the monthly interactions review process to ensure timely and efficient development officer fundraising activity reporting.
The Prospect Management Specialist will work closely with a team of analysts and the Senior Director of Prospect Management to utilize appropriate information to help discover, analyze, classify, and maintain prospects capable of making philanthropic contributions to the University. This individual will also work collaboratively with a wide variety of stakeholders and have an established track record in building meaningful relationships coupled with effectively using relationship management skills and resources.

Prospect Management Outreach

  • Builds and maintains partnerships with a dedicated number of major gift officers and campus stakeholders to effectively manage prospect assignments by providing insights for prospect strategy through ongoing portfolio and pipeline analyses and consultations.
  • Works with impacted staff to assess Prospect Management policies and procedures, serving as the Prospect Management liaison to annual gift officers, leadership officers, and development coordinators as needed.
  • Accountable for maintaining organizational hierarchy in the database and overseeing the scheduling of development officer consultations with Prospect Management, and other scheduling tasks for the unit.
  • Develops and refines services to meet the needs of people involved in fundraising and institutional advancement.
  • Provides analysis and interpretation of prospect and donor information and facilitates communication regarding prospects to the appropriate fundraising stakeholders.

Prospect Tracking and Information Management

  • Assigns prospects to development officers, approves clearance, reviews campus-wide prospect interactions (correspondence, strategy memos, contact reports, etc.) for appropriate inclusion in the database and various reports, and responsible for the appropriate maintenance of plans.
  • Promotes effective prospect tracking and management across the entire development community by modeling portfolio management and other best practices for the development community; and manages and oversees projects (on-going and ad hoc) that specifically model these practices.
  • Analyzes collected assignment, contact, proposal, pledge, and gift data to determine areas for program emphasis and enhancement.
  • Evaluates and analyzes tracking program strengths and weaknesses at appropriate intervals and develop corrective measures as needed.
  • Reviews and analyzes system generated reports and provides recommendations for improvement.

  • Monitors and guides development officers' progress throughout the prospect fundraising cycle: qualification, cultivation, solicitation, and stewardship.
  • Works with appropriate staff to assess Prospect Management policies and procedures, reinforcing and promoting an active awareness of The University's development program's goals, objectives, and directions.
  • Provide recommendations related to the assignment of prospects as well as post-assignment analysis.
  • Responds to a broad spectrum of high priority requests at the request of the Senior Director for Prospect Management while always promoting and adhering to the University's prospect coordination policy.
