The Office of Undergraduate Admissions generates, reviews, and processes in excess of 67,000 applications and serves approximately 38,000 campus visitors each year. The office has 44 career staff FTE, 45-50 part-time/temporary staff, and 150 student staff. Staff work locally and regionally throughout California and the nation.

The office is part of Enrollment Management, which includes Financial Aid and Scholarships, Orientation and Undergraduate Admissions. Enrollment Management is part of the multi-faceted academic Division of Undergraduate Education. Undergraduate Admissions, Enrollment Management and Undergraduate Education work closely with select Academic Senate committees.

JOB SUMMARY

Under the general direction of the Information Technology and Systems (ITS) Manager, the Reporting & Security Specialist (RSS) will serve as an expert within the Academic Information System (AIS) and other core technologies used within Undergraduate Admissions (UA). The incumbent is primarily responsible for user security roles, reporting and data security. The RSS develops strong relationships with UA leadership to understand business needs, translates those needs into data reports, and offers solutions to increase efficiency and accuracy of work completed within UA. The incumbent provides administrative reporting, produces and maintains a variety of standard and non-standard query reports within AIS. They are responsible for training staff members on how to use self-service reports and answering staff's questions as they arise.

They serve as a lead analyst in the implementation, upgrade, testing and production environments within AIS and other core technologies, with a primary focus on security roles and the impacts of those roles to systems and the user experience. They deliver data for specific aspects of advising, the campus community, and student records as appropriate. They are responsible for executing functionality within AIS and other core technologies, resulting in changes to a student's status, group affiliation or program plans.
The Reporting & Security Specialist analyzes Undergraduate Admissions needs, coordinates the development and delivery of admissions-related information, facilitates documentation and testing. They create training materials that meet the needs of end users accessing admissions information. In addition, the incumbent serves as a liaison communicating the department's needs to external academic and administrative units.

The incumbent functions as an expert on legal, regulatory, and UC compliance requirements within AIS, the university's system of record. In close coordination with department leadership and the Compliance Coordinator, the RSS will ensure access to student data via user roles meets all campus data security and privacy definitions, policies, and procedures.

The incumbent must think critically and creatively about how AIS and other core technologies can be used to increase efficiencies and provide a more holistic experience to students, parents and staff to achieve enrollment goals. The incumbent must be adaptable, growth minded, and able to work with a diverse team of individuals with varying technological knowledge. The incumbent must function independently, own their work, and see projects through to completion.

Salary Information: Salary Range: $79,750 - $82,000 / Annually. Salary commensurate with skills, qualifications and experience.

JOB DUTIES

20%

  • Maintains and updates unit records, securing them from unauthorized access, and backing up unit records as necessary.
  • Coordinates all security aspects within AIS and other core technologies for Undergraduate Admissions.
  • Trains staff about the software and technologies available to them for protecting sensitive information.

  • Engages with individuals within UA and with other university stakeholders on the creation of specifications within AIS and other systems as needed.
  • Provides documentation and creates a delivery plan based on collected information.
  • Investigates and proposes standard reports within AIS or identifies custom modifications available to staff.
  • Troubleshoot issues with staff, Resolve issues and document for possible training/ development opportunities.

  • Coordinates with the UA leadership team and with other units within Undergraduate Education to analyze, plan, and implement specified admissions requirements within AIS and other core technologies within Admission, focusing on security.
  • Supports Undergraduate Admissions business requirements and processes and transforms those Admissions requirements into programming specifications for use by programmers for AIS and other systems as needed.

  • Participates in AIS committees and subcommittees with the UA ITS Manager.
  • Establishes review and quality assurance strategies, monitors compliance with campus, local, state and federal regulations.
  • Reviews and analyzes current campus and system-wide policies and procedures recommending or initiating change as needed in functions related to AIS service areas.
  • Assists in developing internal and external policies to carry out campus and system wide mandates.

  • Executes functionality within the system of record, resulting in changes to a student's status, group affiliation or program plans.

  • Performs other functions as needed. This includes deskside support and troubleshooting for UA staff in a variety of systems and processes.

REQUIRED QUALIFICATIONS

  • Bachelor's degree in related area or combination of equivalent experience / training.
  • Thorough knowledge of database design and related areas of IT.
  • Strong skills and knowledge of methodologies associated with analysis of processes, information flow and architecture.
  • In-depth understanding and skill in process and systems requirement documentation standards, such as Use Case modeling, User Story creations and narrative description.
  • Self-motivated and works independently and as part of a team.
  • Able to learn effectively and meet deadlines
  • Demonstrates problem solving skills.
  • Demonstrated effective communication and interpersonal skills, showing an ability to communicate technical
  • information to diverse audiences with varying levels of technical sophistication.
  • Ability to assess and balance competing priorities in a fast-paced work environment.
  • Experience working with data security and ensuring compliance with an organization's data security protocols.
  • Experience supporting a team in the development and generation of reports.

PREFERRED QUALIFICATIONS

  • Experience using Campus Solutions by Oracle.
  • Experience working in undergraduate admissions with a working knowledge of admissions policies and procedures.
  • Working knowledge of the UCSC Academic Information System (AIS) and other computing environments, including but not limited to UNIX and enterprise system software.
  • Knowledge of UCSC business processes and procedures.
  • Broad knowledge relating to software design.
  • Demonstrated testing and test planning skills.
