The Human Resources department of the American Library Association seeks a full-time HR Assistant to provide senior level administrative support to its full service department. This is an excellent opportunity to learn human resource management in support of experienced professionals.

Reporting to the Associate Executive Director (AED) of Human Resources, this position will provide the sole administrative support to the Human Resources Department staff including:



  • Filing - personnel and benefit files
  • Document maintenance - which includes, but not limited to, scheduled shredding of documents, stocking of both copiers/printers - paper, toner when needed
  • Supply maintenance - placing of approved orders, and restocking of shelves
  • Other administrative duties as it relates to HR's functional areas - recruiting, benefits, compensation and information systems.


The secondary role of the position is the coordination of ALA's temporary staffing - working with selected agencies in order to obtain temporaries for different units and departments at ALA. This will include being the point of contact for agencies and relationship building in order to secure the best temporary for any requested assignment.

This is a regular full-time position based in our Chicago office. ALA staff are currently working remotely due to the coronavirus pandemic. Please note that although we have a generous telecommuting policy for our employees, we do not have any truly remote positions in states outside of our workplace sites.

ALA currently requires that employees be fully vaccinated as defined by the Centers for Disease Control and Prevention. Proof of vaccination will be required on or before start date.

Starting salary range negotiable from the mid-40s, based on relevant experience. ALA has an excellent benefit package that includes flexible work schedules, medical, dental, generous paid vacation and a retirement annuity.

Requirements



  • Minimum of 3-4 years of related office support experience, ideally in an HR environment
  • Associate degree: Bachelor's degree preferred, in HR or other business related field
  • Advanced Microsoft Office with an emphasis on Word and Excel; moderate PowerPoint, HTML and database usage
  • Past experience working with HRIS and/or applicant tracking systems (ideally Ulti Pro)
  • Frequently moving boxes weighing up to 35 pounds across the office, using elevators and/or stairs.
  • Prior experience handling multiple, competing priorities and deadlines successfully
  • Proven organizational skills, attention to detail as well as excellent judgment and initiative.
  • Prior work in a member-based association's HR department highly preferred.
