Position Summary:

The Program Manager, Awards will facilitate the annual nomination, selection, and recognition of prize and award recipients, new APS Fellows, and historic sites. Work directly with the various selection committees, APS leadership, award program coordinators, and other staff as needed to ensure that all aspects of the program are completed in an efficient and timely manner.


The APS has a "remote first" concept that promotes equal treatment and equal access, independent of physical work location, with a majority of staff working primarily from remote work locations. This position could require at times in office work, various geographic events and meeting attendance as instructed by your Supervisor. Is This You:



  • Nomination and Selection:

    • Collaborate with volunteers, APS leadership, and staff to promote APS Fellowship, prizes, awards, and historic sites and solicit nominations
    • Manage three society level selection committees and facilitate the selection process for approximately 100 volunteer led committees
    • Promote equity and diversity in canvassing and selection processes


  • Recognition:

    • Oversee planning and execution of multiple annual award ceremonies and engagement events
    • Assist APS CEO and President with awards related presentations and speaking engagements
    • Collaborate with internal stakeholders and vendors to produce print, digital, and video promotional materials


  • Reporting and Administrative:

    • Prepare annual reports for leadership and relevant committees
    • Ensure accurate collection and reporting of recipient and Fellow data
    • Oversee nominations software implementation and customer support
    • Manage two awards coordinators: provide professional development support and delegate tasks as needed





Education: Bachelor's degree required. Master's degree is preferred, and or equivalent work experience with science background. Project Management Professional (PMP) certification is a plus.

Experience, Knowledge, Skills, and Abilities:



  • Minimum 3 years of experience and demonstrated accomplishments in program administration, volunteer management and/or project management.
  • Minimum of 2 years supervisory experience preferred.
  • Familiarity with the physics/science research community is a plus.
  • Proficient in commonly used technology platforms and software, including Google Business. Applications, Gmail, Asana, word processing, and spreadsheets.
  • Strong organization, documentation, and prioritization skills.
  • Strong written and verbal communication skills.
  • Excellent attention to detail.
  • Ability to adapt to quickly changing schedules.
  • Ability to work well with interdepartmental teams as well as independently.


Travel: The position requires frequent travel to conduct site and vendor assessments, and to attend meetings and events as part of its core responsibilities, as well as additional travel as assigned.

Work Environment:

Our physical offices are located in Long Island, NY, Washington, D.C and College Park, MD. We are operational in most US states. While most duties can be conducted remotely, all positions require periodic in-person work at the assigned physical location and periodic travel to other APS locations, meetings and events as assigned by your Supervisor. The American Physical Society allows flexible work hours, responsiveness is required however during the core 9 am to 5 pm Eastern Standard Time workday.
