Job Summary

Are you a dynamic, experienced Office Assistant who enjoys variety throughout the work day? Do you enjoy working with other people in a supportive and friendly student-focused environment? If so, Scottsdale Community College (SCC) needs your clerical expertise and front-facing reception skills!

Scottsdale Community College is looking for an Office Assistant for the English, World Languages, and Journalism (EWLJ) Department to provide ongoing routine office and clerical support and records processing activities. This would be a 30 hour/week benefited position. The Office Assistant provides consistent customer service to students, staff, and faculty in a busy and friendly office. This position reports to and is supervised by the EWLJ Department Chair and the work flow is guided by the Department's Senior Administrative Assistant.

Candidates must be able to work on multiple tasks and projects simultaneously, while maintaining a friendly, inviting, warm and professional office environment. This position performs a variety of receptionist, secretarial, and clerical duties such as compiling information, using productivity applications, keeping accurate records, and communicating effectively on the phones and in email. The Office Assistant is required to meet appropriate deadlines and maintain privacy, and confidentiality when handling confidential or FERPA-protected information.

To best serve the faculty, students, staff, department and college, this position requires a physical presence on campus.

Essential Functions

50% - Provides reception duties; greets visitors and answers routine questions; receives and refers calls; takes and relays messages; may serve as central point for telephone contact; assists students by providing education program information or assisting with registration activities, as assigned.

20% - Reviews, compiles, verifies, distributes and maintains records, files, logs, and or program information.

10% - Enters data, updates, and verifies data input and retrieves basic report information; performs basic mathematical calculations and verifies totals.

10% - Assists with updating and maintaining schedules, calendars and coordination of meetings and services including required meeting materials and supplies related to office processes, projects, programs or events.

5% - Prepares photocopies and collates documents; receives, prepares, handles and distributes mail and documents; Additional clerical activities as assigned.

5% - Performs other duties as assigned.

Minimum Qualifications

High School Diploma or GED

There is no substitution or equivalency allowable for the High School Diploma or GED.

Desired Qualifications
  • Associates Degree
  • Experience using Google Suite including Docs, Sheets, and Forms and/or Microsoft Word, Excel
  • One year's experience in a clerical, front-facing office position
  • One (1) to Three (3) years' experience providing customer service in a diverse environment
  • Experience working in a higher education in an academic department
  • Effective written communication and attention to detail as shown in the cover letter


Special Working Conditions
  • Travel to campus during the interview/selection process will be at the candidate's own expense.
  • May require prolonged periods of sitting and viewing a computer screen.
  • May be required to lift or carry up to 25 lbs.
  • This position requires a physical presence on campus.
  • This is a 30 hour/week benefited position.
