Job Summary

Are you a dynamic, experienced administrative specialist? Scottsdale Community College (SCC) needs your expertise! Under the direction of Marketing Director, the Administrative Specialist will be responsible for performing administrative office support, office coordination and/or records processing activities in support of the Marketing Department.

To best serve the students, department, and college, this position requires a physical presence on campus, with the possibility of partial remote work depending on business needs.

Essential Functions

25% - Coordinate department purchase orders; create, submit and manage all vendor purchase orders and requisitions, including media buys; oversee the approval of vendor invoices and payment, following MCCCD policies and procedures.

25% - Order and manage office supplies and computer hardware/software needs; oversee and reconcile the department purchasing card for various expenses.

10% - Oversee and reconcile the Marketing and Public Relations department expenses and budget.

10% - Manage the internal employee store of SCC-branded giveaway items.

10% - Help prepare and coordinate Marketing team meetings.

10% - Provide customer service; answer phones; prepare and maintain correspondence; proofread and edit communications activities; manage the on-hold telephone recordings.

10% - Assist with other administrative and support duties as assigned.

Minimum Qualifications

Associate's Degree from a regionally accredited institution and one year (full-time equivalent) of clerical, administrative office support or related experience.

Or

High School Diploma/GED and three years (full-time equivalent) of clerical, administrative office support or related experience.

Desired Qualifications

A. Bachelor's degree

B. Experience in a secretarial or office support position

C. Experience using routine office technology such as Microsoft Office or Google Suite

D. Understanding of diverse academic, socioeconomic, and cultural environments

Special Working Conditions
  • Travel to campus during the interview/selection process will be at the candidate's own expense.
  • Will be required to travel or be assigned to all MCCCD locations.
  • May be required to work evenings and weekends.
  • May require prolonged periods of viewing a computer screen.
  • May be required to lift or carry up to 25 lbs.
