Job Summary

Join our Paradise Valley Community College (PVCC) team to make a difference in our community, enact positive social change, and improve students' lives everyday.

Paradise Valley Community College is seeking an Administrative Specialist Senior who will provide advanced administrative office and secretarial support, and/or program coordination activities for the Social Sciences Division, which includes support for the Early Childhood Education program and support for PVCC's new Bachelor's degree program in Elementary Education and Special Education.

Our ideal candidate will have strong customer service and support for students, faculty, community members, vendors, and college staff. The qualified person has experience working with a diverse population and they will act as the first point of in-person/on-campus contact for the Social Sciences Division. In this position you will receive and respond to inquiries and information requests as well as help create and maintain course schedules, course offerings, and other campus resources. The ideal candidate must be able to work independently to problem solve and resolve issues or refer requests to appropriate resources. We are searching for someone that is comfortable using technology and learning about multiple online platforms/systems such as FMS, SSRS, HCM, SIS, Google Calendar/Drive/Sheets/Slides/Docs, R25 reservation system, etc. which will be used daily to accomplish division directives and goals.

Essential Functions

40% Monitors and coordinates college or academic services such as course scheduling, maintenance, media, printing, and word processing with college/district departments and external organizations; coordinates textbook orders, assists with budget preparation, monitoring and maintenance; directly involved with purchasing office supplies as well as all ProCard and departmental purchases; creates Official Function Forms, purchase orders and requisitions; maintains and tracks petty cash forms, tracks expenditures; assists with division mail pick up and distribution. Ensures documents (e.g. faculty syllabi and budget documents) remain current with college/district policies and procedures; assists with faculty orientation; develops divisional promotional materials: supports the division by using technological skills and business systems such as FMS, SSRS, HCM, SIS, Google Calendar/Drive/Sheets/Slides/Docs, R25 reservation system, etc.

30% Provides strong customer service and interacts with a wide range of individuals including but not limited to students, faculty, community members, vendors, and college staff; acts as first point of contact for the Social Sciences Division; receives and responds to inquiries and information requests on faculty schedules and contact information, course offerings, and other campus locations and resources, resolving issues or referring requests to appropriate resource. Supports residential and adjunct faculty by collaborating with faculty and other staff when needed/requested; accesses class rosters and data; orders supplies for instructors and division classrooms. Provides basic computer related fax and copier support; Problem-solves daily to keep division working smoothly. Assists students and faculty with enrollment issues and provides courtesy calls to students regarding scheduling changes. Directs the work of the Federal Work Study students.

20% Provides administrative support to all of the programs within the division; maintains financial and academic records/files; monitors and coordinates with college web page administrators to keep division web pages current and in compliance with established guidelines; prepares semester startup packets for faculty in coordination with division chairs, maintains master calendar by scheduling appointments, programs, committees, and divisional meetings/events; provides office reception; manages multi line phone system; assists with the planning and implementation of various divisional events/programs and services including intercampus collaborations. Participates in the division meetings and records and distributes minutes.

10% Performs other assigned duties which are commensurate to grade level of position.

Minimum Qualifications

Associate's Degree from a regionally accredited institution and two years of administrative office support or related experience providing a wide variety of secretarial, administrative office support and/or administrative coordination activities.

OR

An equivalent combination of the conferred degree and directly related full-time work experience as described above sufficient to successfully perform the essential duties of the job such as those listed above, unless otherwise subject to any other requirements set forth in law or regulation, may be considered.

Desired Qualifications

1. Associate's Degree plus three years or more of experience as an administrative assistant or office manager.

2. Two or more years of experience reporting, scheduling and building course information using a system such as Student Information System (SIS) or similar systems and using Microsoft SQL Server Reporting Services (SSRS) systems

3. Two or more years of experience maintaining financial entries, expenses, PO, and budgets in a system such as Financial Management System (FMS) or similar system.

4. Two or more years of experience using EXL spreadsheets, Google tools, Adobe Suite, Microsoft Suite and proficient in creating documents.

5. Two or more years of experience working with a diverse population in the community college or university setting.

  • May require possession of a valid State of Arizona Class D Driver's License or other state license; employee must meet district minimum standards regarding driving:
  • Travel to campus during interview/selection process will be at candidate's own expense

  • May require travel or work at the Black Mountain campus
  • May require numerous evenings or weekends
