Theatrical Facilities Specialist

Responsibilities

BASIC PURPOSE: Provide support, hands on assistance, and feedback to Manager, Theatrical Facilities for fleet of vehicles and apartments. Responsible for overseeing cleanliness and readiness of facilities resources as they pertain to housing and transportation.

POSITION RESPONSIBILITIES:

Oversee vehicle inventory, usage, scheduled maintenance, and monitors registration for leased vehicles.

Collate information for insurance claim reporting in the event of an accident involving company vehicles.

Inspect apartments for readiness before crew/contractor arrivals.

Inspect apartments for cleanliness after crew/contractor departures to ensure compliance with move-out procedures.

Liaise with cleaning team to ensure proper cleaning of apartments as well as coordinating additional cleaning as required.

Monitor apartment supplies and replenishes from inventory as needed.

Liaise with apartment management teams, apartment service vendors, and stage management to resolve apartment issues.

Report and monitor apartment maintenance issues to ensure completion in a timely manner.

Oversee hard key inventory for apartments. Responsible for distribution, collection, and replacement of hard keys.

Oversee distribution and collection of access badges. Report any missing or damaged badges to Manager, Theatrical Facilities for deactivation and/or replacement.

Knowledge of creating cleaning grid and assigning cast and creative apartments with the ability to assist Manager, Theatrical Facilities as needed.

On-site contact for after-hours apartment maintenance emergencies and lockouts.

Responsible for use of company vehicles for departmental off-site errands and order pickups as needed.

Work with Theatrical Production Coordinator and stage management teams to schedule departure transportation with 3rd party transportation vendor.

Aware of all emergency procedures for facility and assists as assigned.

Perform other job-related functions as assigned.

EDUCATION: Minimum High School Diploma or equivalent is required.

EXPERIENCE: Minimum 2 years experience as a Production or Personal Assistant preferred, Experience in theatrical production onboard Cruise Lines preferred. Experience with accommodation and vehicle coordination a plus.

KNOWLEDGE & SKILLS: Fluency in English and Spanish a plus. Proficiency with Microsoft office suite required emphasis on Outlook, Word, and Excel. Clean, Valid and Current Driver's License required. Outgoing personality able to create positive working relationships with vendors and contractors. Ability to multi-task and shift priorities frequently as needed by business. Excellent written and verbal communication skills required. Must be available to be on-call for emergencies based on a rotational system. Ability to regularly climb stairs and stand for long periods of time.
