HX5 is currently seeking a Contracts/Business Office Administrator to join our team in Dayton, Ohio. This position requires normal business hours, Monday-Friday.

Essential Duties and Responsibilities



  • Support the Program Management Office (PMO) Director and Program Managers in the management DoD and NASA prime contracts and subcontracts.
  • Prepare, review, and track contract task order deliverables and other reports for management.
  • Track complex contract travel funding and expenses.
  • Generate, review, and validate data as it relates to government financial reporting, invoicing and reconciliation.
  • Manage contract employees Travel Authorization Requests (TAR) and their timely filing of expense reports, assisting them as needed.
  • Interact with employees, teammates, government customers, contracting officials, auditors, etc.
  • Manage employee awards, to include tracking, documentation, generating certificates, budget management, and coordinating with Human Resources.
  • Manage the program office indirect budget.
  • Manage office lease and utilities.
  • Procure and manage office equipment and office supplies for the team.
  • Assist the PMO staff and contract employees in coordinating issues with the corporate departments such as Human Resources, Finance, Contracting/Subcontracting, Security, IT, and Business Development.

Education and/or Experience

Bachelor's degree preferred. A minimum of three years of relevant experience is required; experience in government contracting is preferred. Must have the ability to demonstrate discretion, professionalism and maintain confidentiality.

Computer Skills

To perform this job successfully, an individual should be proficient in Microsoft Office Word, Excel, Outlook and Power Point. Effective use of Excel is critical, to include understanding mathematical formulas across multiple sheets.

Work Environment

The work will be performed in an office environment. The noise level in the work environment is usually moderate.

Position Type/Expected Hours of Work

This is a full-time position. Standard days and hours of work are Monday through Friday, 8:00 a.m. to 5:00 p.m, though occasional odd workdays or hours may be required.
