Division Order Tech
JOB SUMMARY
The Division Order Technician is responsible for supporting analysts in determining the ownership of minerals by collecting records, preparing correspondence, and processing division and transfer orders. The incumbent must obtain signatures from interest owners, assist with data audits, mail out division orders, and create and file documents. The Division Order Technician will also assist the Land Administration department with various projects, such as unclaimed property research, acquisition and divestiture projects, and data entry as needed.
ESSENTIAL DUTIES AND RESPONSIBILITIES
Responsible for managing and maintaining the Name and Address system in P2 Land, which is comprised of New Party Number creations, EFT/banking information setup and updates and change of address requests for Land Administration, the Business Units and Accounting.
  • Support Division Order Analysts in determining ownership of mineral and royalty interests through research and analysis of various contracts and legal documents and by identifying and locating interest owners and their heirs
  • Respond to Working Interest Owner and Royalty Owner inquiries to resolve any issues regarding changes of address, EFT banking information, name change or change of ownership in a timely and professional manner
  • Prepare and process transfers of ownership by collecting, evaluating, and interpreting necessary records and relevant documentation, including obtaining the required signatures, from interest owners
  • Communicate with working interest owners and royalty owners in order to collect applicable documentation, such as titles, leases, and other contracts and legal documents to validate ownership
  • Timely process and distribute division and transfer orders
  • Create and maintain accurate files, documents and records
  • Review, research and execute necessary action for monthly returned check report
  • Assist with projects such as unclaimed property research, acquisition and divestiture projects, and data audits to confirm accuracy and compliance with state and federal statutes
  • Other tasks as assigned
SKILLS AND EXPERIENCE
  • Working knowledge of Division Order, legal and/or title experience preferred
  • Ability to effectively communicate information to interest owners and personnel at all levels of the organization
  • Must be detail oriented with the ability to multi-task with attention to accuracy
  • Must be team player who possesses the ability to adapt to a changing and fast paced work environment
  • Ability to adapt and work within various peripheral and analytical software applications, such as DocuSign, DocuWare, and GIS applications
  • Some experience with a land management software system, preferably Tobin Land System or P2 Land
  • Proficiency in Microsoft Office required, with emphasis on Excel and Word
  • Must be goal oriented, approaching projects with a sense of urgency and drive

WORKING CONDITIONS AND PHYSICAL DEMAND
Work is typically performed indoors in an office environment. Incumbents must be able to perform work which includes typing, sitting and standing. In the event that incumbent visits operations worksite, personal protection equipment, including head protection, hearing protection, safety glasses, safety shoes, and flame resistant clothing is required. Safety rules including OSHA and DOT requirements are strictly enforced. Employees must be willing to travel and work extended hours on short notice.
