JOB POSTING

This position works a hybrid remote format, requiring a telecommuting agreement and adherence to the UCSC Telecommuting/Remote Work Guidelines. The employee shall be available in a full-time capacity during assigned telecommuting work hours (specific hours to be discussed with supervisor). While telecommuting/remote working, the employee is responsible for ensuring a worksite environment suitable for accomplishing their regular job duties during scheduled hours of work and, if applicable, arranging for dependent care just as they would if they were working at the regular UCSC worksite.

NOTIFICATIONS

UC Vaccination Policy: With limited exceptions, COVID-19 vaccinations are required for Covered Individuals under the Policy. Covered Individuals include all employees, students, or trainees who physically access a University facility or program in connection with their employment, appointment, or education/training.

Covered Individuals do NOT include employees who work 100% remotely with NO expectation that they will physically access any University location or program at ANY time. If 100% remote work ends, the employee is subject to policy.

UCSC Extension Silicon Valley (UNEX) combines the academic excellence of the University of California with the expertise of seasoned practitioners. JOB SUMMARY

Under the general supervision of the Finance and Business Services Manager, this position supports divisional accounting and financial operations using professional accounting concepts and best practices. The incumbent completes accounting assignments of moderate scope where analysis of data requires a review of a variety of factors and multiple sources. This involves analyzing, monitoring, combining, and reconciling financial data within defined policies and procedures.

APPOINTMENT INFORMATION

Budgeted Salary: $29.50 - $34.50 / Hourly. Salary commensurate with skills, qualifications and experience.

JOB DUTIES

70% - Accounting and Financial Services

  • Analyzes and applies accounting and financial concepts (i.e., accounting, accounts receivable, accounts payable, purchasing, recharge billing, travel/entertainment, collections, and billing) to process and review financial transactions.
  • Prepares purchase order requisitions in CruzBuy; uses Banner (UCSC's financial information system) and InfoView to monitor purchase orders, research transactions, and prepare summary reports.
  • Responsible for credit card and wire transfer payment reconciliations; investigates discrepancies and recommends appropriate actions.
  • Monitors financial and payroll transactions through campus financial system tools to ensure accuracy of transactions and compliance with internal policies, principles and controls. Reviews and reconciles financial data and transactions; investigates erroneous posting and missing data.
  • Prepares transfers of expense, transfers of funds, and purchase order encumbrance liquidation transactions in Banner (UCSC's financial information system).
  • Prepares funding entries, budget distribution entries, and salary cost transfers in UCPath.
  • Applies accounting and financial services concepts to resolve issues and prepare business process procedures and policy recommendations.
  • Recommends and implements quality customer service standards and procedures to affect various constituencies, including internal departments and external vendors.
  • Effectively addresses customer inquiries.
  • Participates in moderately complex audits of processes and recommends changes to processes. Ensures that the appropriate internal controls are addressed, maintained, and strengthened to protect University resources.

20% - Financial Reporting and Analysis

  • Gathers and analyzes financial and/or resource data; prepares and summarizes information and/or recommendations.
  • Prepares basic financial reports and/or analysis for internal department constituents.
  • Analysis could include budgetary analysis, financial analysis, projections, staff FTE analysis, student enrollment analysis, recharge rate analysis, contracts and grants analysis, etc.

10% - Special Projects

  • Provides support for other unit operations, project research, and compliance functions as needed.
  • Additional duties and support for special projects as required.

REQUIRED QUALIFICATIONS

  • Associate degree in related area and/or equivalent experience/training
  • Knowledge of accounting functions/assignments, concepts, processes, and procedures
  • Working knowledge of financial transactions and systems, as well as related policy, accounting, and regulatory compliance requirements
  • Keen attention to detail and maintains a high degree of accuracy
  • Demonstrated ability to effectively present information in writing
  • Demonstrated ability to effectively present information verbally
  • Proficiency in the use of spreadsheet and database software
  • Ability to function as a member of a team and adapt to changing priorities
  • Ability to learn internal control practices and their impact on protecting University resources

PREFERRED QUALIFICATIONS

  • Experience working with student information systems and student financial records
  • Experience with UCSC financial systems: Banner/FIS, UCPath, CruzBuy, and InfoView.

SPECIAL CONDITIONS OF EMPLOYMENT

  • Selected candidate will be required to pass a pre-employment criminal history background check.
  • Will be required to work a hybrid work schedule, days of the week and number of days to be determined, and be able to fulfill requirements of the UCSC telecommuting agreement.
  • Selected candidate will be required to complete training within established time frames as directed including UC compliance training.
