Event Planner Part-time Student (Lubbock, TX)

Parkhill is seeking a student interested in event planning who will assist the Event Planner arrange and facilitate special events and activities. This position will support the details of events such as conferences, receptions, open houses, trade shows, business meetings, career fairs, luncheons, community events, employee events, virtual and other events. This student will also assist with conducting research, finding venues, securing event space, and working with the venue to plan, create, and revise room layout, scheduling speakers, vendors, and participants and books entertainment. You will be working collaboratively with HR, marketing, and firm Leaders from all Parkhill locations.

Essential Duties & Responsibilities

  • Assists with making arrangements for corporate events, extension courses, compliance and safety training and other events and meetings.
  • Assists with arranging food and beverage, samples food, selects chefs or catering companies to prepare selected food for event and sets menus.
  • Anticipates project needs, discerns work priorities, coordinates and monitors event timelines, and ensures deadlines are met.
  • Assists the Event Planner initiate, coordinate, and/or participate in all efforts to publicize event.
  • Assists in the design and editing of a variety of programs and promotional materials and works with print shop and marketing to develop these materials.
  • Assists arrangement of audiovisual equipment, travel arrangements, event signage, and appropriate decor.
  • Assists with the preparation of presentations.
  • Assists with creating invitee list, sends out invitations, and manages RSVP lists.
  • Assists with guidance of hired staff to help manage the event, including technical and security personnel.
  • Assists with preparing budgets, keeps track of event finances, and ensures budgets are adhered to.
  • Submits progress reports to management for each event project.
  • Assists with coordination of event logistics, including registration and attendee tracking, presentation and materials support and pre- and post-event evaluations.

Education & Experience

  • Currently enrolled in a Bachelors degree related to Event Planning.
  • Any previous years of experience related to event planning is preferred.

  • Excellent organizational skills to prioritize tasks and meet deadlines.
  • Good analytical and problem-solving skills.
  • Excellent written and verbal communication skills.
  • Strongly detail oriented.
  • Strong in managing projects with multiple internal groups.
  • Proficient in Microsoft Word, Excel, Outlook, PowerPoint.
