Brief Summary of Job Duties

Under the direction of the Grounds Superintendent, serves as the operational supervisor for the irrigation shop, as well as the assigned zones for the grounds maintenance programs on campus. Assists in formulating the maintenance and upkeep programs for the grounds areas; inspects the grounds and determines the needs and priorities for care; plans the overall schedule for new plantings and continuous upkeep; makes recommendations and assists in the selection of grounds equipment, materials and types of landscaping to be used; determines landscape irrigation needs, coordinates the installation of new irrigation systems, repairs, and maintenance requirements; develops in-service training programs; and keeps extensive work records and prepares detailed reports of work done, time spent and materials used. Assists in making hiring selections among job applicants; ensures that new and existing staff receive proper training; makes daily work schedules and assignments; reviews work performed at various stages and upon completion; evaluates the performance of subordinate employees; recommends or initiates personnel actions such as promotions, transfers and disciplinary measures; and maintains various work records and prepares written and oral reports.

Minimum Qualifications:

  • High School Diploma or equivalent certification.
  • Working knowledge in landscape / groundskeeping services.
  • Excellent verbal and written communication skills in the English language, including active listening, flexibility, critical thinking, and the ability to multi-task and ensure effective time management.
  • Effective decision making and reasoning skills, ability to develop original ideas to solve problems, and operations analysis and quality control analysis skills.
  • Effective interpersonal and work leadership skills to provide guidance to other personnel.
  • Ability to provide plant and pest identification.
  • Basic computer application skills.

Preferred Qualifications:

  • Academic preparation in horticulture.

Special Conditions of Employment

  • Must maintain valid CA DL, a clean DMV record and enrollment in DMV Pull-Notice Program.
  • Must possess and maintain a valid State of California Department of Pesticide Regulation Qualified Applicator License (QAL) or higher qualification. Must possess and maintain a valid AWWA Backflow Prevention Certificate.
  • Must possess and maintain an International Municipal Signal Association (IMSA) Work Zone Safety Certification.
  • Other credentials may be required.
  • Altered work schedules may be required as directed to meet operational needs of department.
  • Travel will be required to attend conferences and seminars relating to required credentials or professional development as required by department.

Job Functions/Percentage of Time/Duties

  • 50% Landscape Maintenance - Incumbent has responsibility for all landscape maintenance operations within two of the four Grounds Zones of the main campus. In the absence of the other Landscape Supervisor, may supervise those Zones also on a short-term basis. In the absence of the Grounds Superintendent, may function as overall Grounds supervisor on a short-term basis. Inspects all campus areas of responsibility for landscaping maintenance needs and communicates work requests to appropriate Zone Lead Groundskeeper, Groundskeeper, or Irrigation Specialist. Inspects all landscapes for weed control, and schedules hand-weeding by PathPoint Crew, Zone Team Groundskeepers, or herbicide application. Where FM Grounds areas of responsibility border with FM Custodial or H&RS service areas, maintains effective working relationship with these units to carry out needed work. Meets and communicates with internal and external customers to seek feedback regarding quality of service and work performed by team. Provides all customer feedback to team promptly. Assists team in meeting and/or exceeding customer needs. Works continuously with Groundskeepers to improve the efficiency of their work practices, and ensures compliance with all UCSB safety programs, the Business Services Injury Reduction Program (IRP), and all Facilities safety directives. Organizes and schedules needed safety training for all individuals supervised in coordination with IRP, Grounds Superintendent, and AssistantDirector. Schedules and runs regular safety meetings with each Grounds team unit. Evaluates additional training needs to run a safe and professional unit, and coordinates training with Superintendent, Associate Director, or other provider. Serves as an EH&S Departmental Safety Representative (DSR) in this campus-wide general safety program for the group of employees supervised, and trains them in updates provided to all DSRs as well as disaster preparedness training. Shall function as a first responder in the event of a disaster.. Approves and processes tool and material requisitions, and maintains tool inventory for all equipment in assigned areas of responsibility. Inspects storage of materials and supplies such as fertilizer, grass seed, herbicide, pesticides, and fuel to ensure safe and compliant storage. Responsible for setting up and carrying out effective team projects. Utilizes quality control reporting to for landscape evaluations. Responsible for getting equipment repaired as needed by Grounds equipment repair shop. Monitors, delivers, and signs out to employees as directed all safety equipment, tools, shared equipment, and consumable materials used in landscape operations. Receives work requests via e-mail, WebTMA database, radio dispatch, verbally, or by telephone from numerous sources, and organizes and prioritizes as directed to maintain a safe, attractive, and functional campus landscape. Ensures the campus landscape is safe and functional for pedestrians
  • 30% Personnel Management - With the Grounds Superintendent and Assistant Director, makes hiring selections for new staff when necessary. Communicates effectively to workers and team; addresses and resolves concerns promptly. Recommends or initiates personnel actions such as promotions, transfers and disciplinary measures. Insures new and existing staff receive proper grounds keeping and safety training. Supports, coaches and provides strategic service guidance to multiple zone teams in the accomplishment of department objectives of team performance, high worker morale, safety, productivity and quality of work. Approves and checks all timecards of staff supervised for accuracy, legibility, and correct job numbers. Checks Kronos data for all assigned staff daily to verify punches are correct, leave codes are entered, and approves Kronos for bi-weekly pay. Assures staff attendance and productivity meets department requirements. Approves vacation requests, and re-assigns personnel as necessary when employees are absent to cover needed work. When authorized to, assigns overtime work, sets up job and equipment and staff from voluntary overtime list. Writes annual performance evaluations for staff supervised and handles discipline issues in a timely manner in accordance with departmental and campus guidelines. Balances/changes Groundskeeper assigned section size as new buildings or new landscapes change the workload. As a part of Facilities' commitment to diversity as well as improving campus appearance in a sustainable manner, is responsible to oversee the contract employment of 12 part-time special needs workers from PathPoint, Inc.
  • 15% Irrigation Systems Operation & Maintenance - Notifies Irrigation Specialists of required irrigation system repair work, and coordinates repair to minimize impact on irrigated areas. Coordinates work between Section Groundskeepers, 4 Zone Lead Groundskeepers, and two Irrigation Specialists to repair irrigation system, upgrade systems, and plan and execute landscape renovations involving irrigation systems, new plant material, new trees, or new hardscape. When Grounds Superintendent determines that large irrigation repairs or renovations are best handled by a contractor, incumbent coordinates work with contractor and ensures that adverse impacts to campus landscape are minimized. Monitors health and appearance of all landscape areas, and if irrigation changes are required, conveys that to Irrigation Specialists through the WebTMA work order system. Works closely with Grounds Superintendent and Water Conservation Manager to assess landscape and convert to recycled water where possible, or to modernize spray heads to improve distribution uniformity and conserve water. Participates in annual recycled water cross-connection check with Irrigation Specialists, may function as secondary Recycled Water User Supervisor at direction of Superintendent and Associate Director.
  • 5% Other Duties - Carries out other duties as required to meet the mission of Facilities Management. Works cooperatively with all other Facilities Management staff to complete maintenance tasks as needed. Uses all hand and power tools common to landscape maintenance to train staff, show special technique, to verify operation, or to handle an emergency with or without Grounds staff assistance.
