Job Summary
Works within CAP Tulsa's Fund Development Department to maintain and support the growth of recurrent and new revenue streams. Assists with the processes to manage recurring and competitive grant applications; and grant administration management, including prospect research, information management, and organizational compliance with governmental entities' regulations and private foundations' guidelines. Makes non-routine choices within established precedent, considering objectives, under limited supervision. Performs intermediate troubleshooting or analysis; requires interpretation of data using generally prescribed procedures. Frequent interaction to provide basic information and/or occasional interaction requiring detailed procedural explanations or technical responses.
Responsibilities/Essential Functions


  • Assist with maintaining systems for storing and organizing information such as grants database(s), fund development calendar, and fund development files (primarily electronic)
  • Work with Accounting, Legal, Program, and Purchasing staff to communicate relevant deadlines, compliance, and grant spending
  • Research new grant opportunities and provide summaries to inform strategic decisions whether to pursue or not, including confirming eligibility, potential use of funds, and gauging odds of success
  • Support fundraising through researching and identifying funding opportunities and managing donor profiles, including maintaining information in grants database and creating reports as needed
  • Help write and submit annual applications to existing (recurrent) and new grant funding sources as needed
  • Assist with reporting to funders as required and as a courtesy, including describing grant uses and program outcomes; work with various departmental staff as needed to maintain compliance and meet deadlines
  • Assist with monitoring, troubleshooting, and communicating issues tied to organizational compliance with local, state, and federal regulations; assist with meeting funders' expectations and guidelines, including grant award management, acknowledgment letters, submitting reports and /or other required documentation
  • Assist with facilitating funder site visits including coordinating and communicating with internal and external stakeholders as needed
  • Assist with special projects as needed
  • Perform other duties as assigned or requested



Required Education/Experience


  • Bachelor's Degree in Business Administration/Management, Organizational Development or a closely related field or High School Diploma/GED with 8+ years of related business experience



Knowledge/Skills/Abilities


  • Must have proven successful interpersonal relationship skills to maintain effective and satisfactory working relationships with intra-department and inter-department staff, vendors, clients, visitors, and contractors.
  • Ability to follow oral and written instructions with ability to read, interpret, and present information efficiently and effectively.
  • Must be able to accurately audit records and ensure compliance with written or oral guidelines.
  • Ability to take initiative, multi-task, and work well under pressure.
  • Must maintain strict confidentiality of extremely sensitive data, records, files, conversations, etc.
  • Intermediate-Advanced MS Office skills, advanced database software skills
  • Advanced organizational skills, efficiency skills and excellent attention to detail with a demonstrated commitment to completing assignments on a timely basis.



Work location
In-person work and collaboration are requirements for this position. Employees are expected to physically report to the assigned work site as scheduled by the supervisor. At the agency's discretion, this position may be allowed to engage in remote work for specified periods of time or a determined percentage of work schedule; however, this is not guaranteed. Temporary remote workdays may be approved for circumstances such as, but not limited to, inclement weather, special projects, or travel. These arrangements are approved on an as-needed basis, with no expectation of ongoing continuance. All remote work arrangements are made on a case-by-case basis, focusing first on the business needs of the organization.
Essential Physical & Mental Requirements
Work is a normal office environment. Employees are subject to standing, stooping, walking, lifting, and carrying objects throughout daily job performance. Intermittent effort involving lifting amounts between 5 and 25 pounds required. Work requires moderate attention to detail and deadlines between 15% and 45% of the time. Driving is required intermittently, with exposure to normal traffic hazards.
