Job Description

Reporting to the Director of Advancement Services, the Assistant Director of Advancement Services, donor and Volunteer Stewardship ("Assistant Director") will develop and implement a strategy to acknowledge, recognize and convey the impact of philanthropic and volunteer leadership support of the Law School and the Dean's strategic priorities.Serving as an expressive writer, careful editor, and thoughtful strategist, this position willdevelop and execute best stewardship practices to ensure that the Law School is accurately and effectively communicating messages of gratitude to alumni and friends, and vividly illustrating the impact of time, expertise and financial resources in the life of the school.

Work Performed

Comprehensive Law School Donor and Volunteer Stewardship Strategy

*Designan over-arching donor and volunteer stewardship strategy and oversee implementation of a donor and volunteer recognition program for the Law School.

*Coordinate and maintain recognition program for Law School donors, including but not limited to major gift special impact reports, donor listings and profiles for Honor Roll and other publications, physical facilities and donor naming displays, and management of the donor gifts election and distribution process.

* Partner with Regional Directors and Director of Alumni Engagement to design and implement customized stewardship strategies for key donors and leadership-level volunteers.

* Partner with University Alumni Engagement & Development colleagues on stewardship reports and initiatives that will maximize and magnify Law School donor impact and minimize duplicative or inefficient efforts.

*Work with Associate Director of Advancement Services, Alumni & Donor Communications, on design and production of major gift impact reports and other platforms to effectively and creatively engage the various donor and volunteer audiences.

Scholarship/Fellowship and Professorship Donor Stewardship

*Lead the ADO team's scholarship and fellowship award and donor stewardship efforts, including serving as ADO liaison for the annual scholarship selection/pairing process. Notify students and donors regarding named scholarship and fellowship awards, facilitate student and donor introductions and communications, prepare scholarship financial and impact reports, serve on planning team for scholarship and public interest fellowship community gatherings and celebrations, and identify other recognition touchpoints for donors, such as flagging scholarship recipient accolades and accomplishments.

*Lead the ADO team's professor ship stewardship efforts, including tracking named professorships and recipients, facilitating faculty and donor introductions and communications, preparing professorship financial and impact reports, serving on planning team for professorship celebrations and tracking faculty accomplishments and achievements that warrant donor notification.

Gift Acknowledgements

*Draft timely and dynamic messages to all Duke Law donors acknowledging gifts and pledges to Duke Law School.

*Partner with Advancement Services Assistant on the digital and physical production of standard, non-customized acknowledgment letters to the majority of Duke Law donors.

*Write customized gift acknowledgment letters for leadership-level donors to be signed by the Dean and by the senior leadership of ADO. This includes performing background research, soliciting input from Regional Directors, coordinating with the Dean's Office, and composing personalized letters as needed.

*Coordinate with Strategic Initiatives team on their production of customized digital and physical acknowledgment letters to corporations and private foundations for gifts and grants supporting clinics, centers or strategic initiatives.

*Communicate with and provide to University Development timely and relevant information for production of Presidential acknowledgement letters.

*Annually refine and enhance acknowledgement guidelines to meet the objectives of ADO.

Special Campaign Recognition and Other Responsibilities

* Develop effective campaign-specific donor recognition strategies, and lead special donor recognition projects as assigned.

*Coordinate with campaign priority area leaders to plan and implement any special acknowledgments needed.Document processes related to donor stewardship programs, including but not limited to special impact reports, acknowledgment letter processes, scholarship awards and notification timelines.

*Represent the Law School at University-wide meetings related to donor relations and stewardship.

*Participate in major Duke Law School events such as Board meetings, Scholarship/Fellowship events, Alumni Reunion Weekend and Commencement.

Required Qualifications at this Level

Education/Training

Work requires communications, analytical and organizational skills normally acquired through completion of a bachelor's degree program.

Experience

Work requires two years of experience in fund raising, alumni affairs, public relations, student activities, program administration or a related field to become familiar with activities involved in planning special events or programs.

OR AN EQUIVALENT COMBINATION OF RELEVANT EDUCATION AND/OR EXPERIENCE

Preferred Skills, Abilities and Qualifications:

* Strong writing skills.

*Keen attention to detail and the ability to prioritize and execute multiple projects under demanding deadlines.

*Demonstrated understanding of donor relations and stewardship in a successful fundraising program, and experience working in a complex environment managing numerous and competing priorities.

*Ability to maintain a high degree of confidentiality and responsibility regarding information related to donors and the university.

*Strong customer service mentality.

*Ability to work evenings and weekends when needed.

*Interest in developing best practices and partnering with colleagues to advocate for improvements across development and stewardship.

*Fosters positive work relationships through an inclusive approach. Seeks input and involvement from those affected by decisions.

*Experience using Duke's donor database (DADD) and Enquire or similar fundraising databases. Understand process of coding records in DADD.
