SSP America is hiring an Administrative Assistant!

The Administrative Assistant will provide high quality administrative support to members of our Senior Leadership Team as well as Operations Team. To be successful in this role, you must be detail oriented; take initiative; adaptable; work well with complexity & ambiguity; build strong relationships; work independently in a fast-paced environment, and exercise discretion while managing confidential information. The ideal candidate is highly self-motivated, professional, and able to make decisions within the scope of accountability while keeping leaders informed. The position will report to the Executive Assistant/Vice President of Operations and will be fully remote preferably in EST or CST time zone.

This position pays $19.25 - $24 hourly.

Job Duties



  • Manages calendar for a team of leaders, which requires interaction with both internal and external parties
  • Coordinate and make arrangements for meetings and events
  • Organize schedules and correspondence, independently follow-up on action items, maintain files, and prepare correspondence and other presentation materials
  • Ability to preserve confidentiality and demonstrate sound judgment regarding sensitive matters
  • Determine priorities while dealing with conflicting deadlines, in a fast-paced environment
  • Evaluate and revise priorities & schedules when unexpected situations arise, using initiative, independent judgment, and tact
  • Prepares and manages expense report reconciliation and submission
  • Coordinates domestic and international travel
  • Coordinate and manage special projects
  • Acts as back up for other Executive Assistants and/or Administrative Coordinators when required


Skills and Requirements



  • Minimum 5 years' administrative support experience in a business or financial services organization or a combination of education and work experience
  • Excellent decision-making, analytical and problem-solving skills
  • Demonstrated customer service mindset
  • Ability to build and manage trusting relationships with all business partners
  • Exceptional Microsoft Office365 skills (Teams, OneNote, SharePoint)
  • Excellent interpersonal and communication skills, both written and verbal to interact with a wide variety of individuals
  • Demonstrated strong organizational capabilities with the ability to handle multiple priorities and fluctuating workloads, while adhering to strict deadlines
  • Demonstrated business professionalism, respect for confidentiality and appropriate handling of sensitive information
  • Demonstrated business judgment, flexibility, initiative, creativity with a positive professional attitude and image
  • Self-starter with the ability to work independently, as well as part of a team
