Position Summary
The Administrative Assistant will provide administrative support to the Associate Dean for Research, Innovation, and Entrepreneurship within the College of Engineering. The successful candidate will assist in achieving the goals and objectives for the Research Office. The incumbent will be tasked with maintaining databases of research proposals and awards, coordinating programs, scheduling candidate interviews, equipment procurement, scheduling seminars, and communicating to internal and external stakeholders. This individual also includes proactively managing the Associate Dean's daily and weekly calendar and communicating inconsistencies or actions.
The incumbent will initiate, develop, and maintain strong working relationships with faculty, staff and students throughout the College of Engineering, including the Director of Development, the Coordinator of Industry Capstone Projects, and the Dean's Office staff.
This incumbent serves as the initial point of contact for the CENGR Office of Research, most notably for faculty and industry partners. This individual will also interact with student organizations, alumni and sponsors, and collegiate administrators. Some evening/weekend work for occasional programs may be involved.

Provide administrative support to the Associate Dean for Research, Innovation, and Entrepreneurship of the College of Engineering:

  • Calendar management, including professional correspondence when he is asked to attend functions/meetings.
  • Review and manage the Associate Dean's calendar with a focus on action steps that will need to be taken proactively (ex: issuing reimbursements for candidate dinners)
  • Meeting scheduling and facility reservations
  • Purchasing lab or office supplies (per the Associate Dean's request)
  • Prepare all travel authorizations, reimbursements and purchases for the Dean.
  • Assist with the faculty award and fellowship program with regards to collecting needed materials and maintaining a tracking system to get them submitted in a timely manner.
  • Assist with the logistics of onboarding new Faculty, graduate students, Staff, and student workers for the Research office
  • Assist with the Associate Dean's research activities, including purchase orders and reimbursements.

Duties/Responsibilities
Research Office Support:

  • Greet and assist visitors, faculty, students, and staff as they arrive at the Research Office
  • Answer questions for faculty regarding office procedures and UGA policy in person, over the phone, and via email as well as manage the research email inbox
  • Distribute relevant information to faculty related to research and training opportunities
  • Maintain physical office including stocking and replenishing of promotional materials and office supplies, as well as receiving office mail and packages
  • Create research activity reports by consolidating information from OVPR, SPA and other sources.
  • Maintain financial reports for the department to include monthly balancing with the college's accounting office, providing needed spending reports and grant monitoring.
  • Project management assistant on new initiatives. This includes correspondence, scheduling, purchasing when needed, and other duties as assigned.
  • Assist the Capstone Project Coordinator with needed reimbursements, meetings and travel arrangements when needed.

Event Support and Calendar Management for Industry Visits:

  • Provide administrative support for lecture series and industry sponsored activities. This will include coordinating all travel, itinerary, and paying all invoices after the events have been completed.
  • Assist with scheduling rooms for faculty, staff, student clubs related to research, innovation and entrepreneurship.
  • Coordinate office meetings and team events including coordinating food, location, itinerary, and paying all invoices associated with the event.
  • Assist in updating college calendar to reflect upcoming events and programming.

  • Prepare communication materials such as fliers and short presentations.
  • Communicate with students, faculty, staff via college listservs and cross-campus communication channels.
