DEPARTMENT OVERVIEW

The Transcript Evaluation Service (TES) is a university initiative that utilizes secondary school transcript information to determine the extent to which individual students are taking the prescribed courses and achieving at a level that makes them eligible for admissions to the public universities in California. Additionally, this resource is utilized by schools throughout the state to modify their curricula and plan their master schedules in order to strengthen the college preparation for, and success of, their students at the University and in other higher educational institutions.

POSITION SUMMARY

The primary responsibilities of the A-G Data Coordinator will be to support the Data Manager and ELC/TES Policy Strategist in interpretating TES data that inform K-12 school district superintendents, principals, and head counselors and assist with the development of district-wide solutions and strategies for improving the completion rates of courses required for admissions by the public universities in the state. Additionally, the incumbent in this position will support the Data Manager with ensuring that TES transcript data files align with the TES platform file format requirements to ensure their integrity and accuracy and also developing overall operational processes of the TES program.

RESPONSIBILITIES

30% ANALYSIS OF A-G TRANSCRIPT DATA

  • Supports the Data Manager and A-G /ELC Policy Strategist with the analysis and interpretations of the academic performance of students in A-G courses.
  • Assists the Data Manager with facilitation of communication of the findings of these analyses to all levels of stakeholders including school district superintendents, school principals, counselors, and teachers within participating districts.

30% DATA FILE ALIGNMENT

  • Assists the Data Manager with review and correction of transcript data files from school districts to ensure their integrity, accuracy and alignment with the TES platform required file format.
  • Delivers competent technical assistance to the Information Technology departments of school districts across the state, when necessary, to allow for the successful exchange of transcript data files.
  • Work with the Data Manager and TES Information Technology Services team to troubleshoot and problem solve data related issues and to support the technological enhancements to TES.
  • Proactively and regularly communicate with partner district teams to facilitate timely and regular submission of data.

20% STRATEGIC IMPLEMENTATION SUPPORT

  • Assist the Data Manager and A-G/ELC Policy Strategist with the implementation of professional development sessions and lesson plans on TES for multiple audiences (school district superintendents, school principals, head counselors, academic preparation program directors).

15% OPERATIONAL ADMINISTRATION

  • Creates new operational processes, as necessary, to streamline workflow and project management throughout the TES annual cycle.

5% PROFESSIONAL DEVELOPMENT

  • Attends classes, seminars, and conferences that enhance professional expertise and foster managerial competency.

REQUIRED QUALIFICATIONS

  • Minimum of 3+ years' experience working and analyzing complex data file formats.
  • Mastery of Excel, including the ability to create look up tables, and highly proficient in Microsoft Office.
  • Ability to effectively and clearly communicate complex information in writing.
  • Demonstrates ability to analyze, research and synthesize large amounts of data with strong attention to detail.
  • Strong knowledge of the UC/CSU minimum freshman eligibility requirements and the A-G course requirements.

PREFERRED QUALIFICATIONS

  • Familiarity with a variety of K-12 student information systems (SIS) like PowerSchool, Aeries, Illuminate, etc.
  • Salesforce administrator experience and organizational process change implementation experience.
  • Demonstrated ability to prioritize, multi-task, and effectively manage multiple tasks simultaneously.
  • Experience working with K-12 education data sets highly desirable.

EDUCATION

Bachelor's degree in related area and / or equivalent experience / training.

This range takes into account the wide range of factors that are considered in making compensation decisions including but not limited to experience, skills, knowledge, abilities, education, licensure and certifications, and other business and organizational needs. It is not typical for an individual to be offered a salary at or near the top of the range for a position. Salary offers are determined based on final candidate qualifications and experience. The full salary range shows the growth potential for this position and the pay scale is the budgeted salary or hourly range that the University reasonably expects to pay for this position.

This position is eligible for a remote work arrangement within the state of California. The selected candidate must reside within the state of California or be willing to relocate.
