Pemex Deer Park is a highly complex refinery located 18 miles east of Houston in Deer Park, TX. It is part of the Pemex group, a fully integrated oil company in the Americas, working across the entire value chain: exploration, production, industrial processing/refining, logistics, and marketing. The refinery’s rated capacity is 340,000 barrels per day and has the feed flexibility to process multiple grades of crudes to produce the high-quality transportation fuels the world needs. The Pemex site is co-located with other 3rd party chemical facilities allowing for further integration and optimization of the refinery and its products. We are seeking a detail-oriented and organized Management System Administrative Coordinator to provide critical support to our refinery. As the Administrative Coordinator, you will play a key role in ensuring the smooth functioning of the operational and business Management System, managing administrative tasks, and facilitating communication between various departments with a focus on assurance and audit processes. Your expertise in assurance, data management and efficient coordination will contribute to the refinery's operational and business excellence and overall productivity.

To be successful, you must have:        

  • High school diploma or equivalent. An associate degree or relevant certification is a plus.
  • Proven experience (6+ years) as an administrative coordinator, data entry clerk, or similar role in an industrial setting, preferably in a refinery or petrochemical plant.
  • Familiarity with industrial processes, terminology, and operational management systems (e.g., PI System, Emerson DeltaV, ISO, COSO) is advantageous.
  • Proficiency in using office productivity software (e.g., Microsoft Office Suite) and data entry tools.
  • Strong attention to detail and ability to maintain accurate and organized records.
  • Excellent communication and interpersonal skills to collaborate effectively with team members and system users.
  • Ability to handle sensitive and confidential information with professionalism and discretion.
  • Proactive and self-motivated with the ability to work both independently and collaboratively.
  • Knowledge of data management best practices and a willingness to learn and adapt to new technologies.

 

Your responsibilities as the Management System Administrative Coordinator will include:

  • Data Management: Accurately input, verify, and maintain data in the Management System. Ensure data integrity and timeliness to support reliable decision-making and analysis.
  • System Documentation: Maintain comprehensive records, logs, and documentation related to the Management System. Organize and manage documents for easy retrieval and reference.
  • User Support: Assist refinery personnel in using the Management System effectively. Provide guidance, address user inquiries, and collaborate with the IT team to resolve technical issues.
  • System Monitoring: Regularly monitor the Management System for errors, discrepancies, or data inconsistencies. Promptly report any issues to the relevant stakeholders for timely resolution.
  • Reporting Assistance: Collaborate with the Management System Strategy Team to generate regular reports and performance dashboards from the system data. Support data analysis and preparation of presentations for management and stakeholders.
  • Coordination: Facilitate effective communication and coordination between different departments and system users. Schedule meetings, training sessions, and other activities related to the Management System.
  • Administrative Support: Provide general administrative assistance to the Management System Strategy Team, including filing, copying, scanning, and organizing documents.
  • Compliance and Security: Adhere to security protocols to protect sensitive data and ensure compliance with company policies and industry regulations.
  • Continuous Improvement: Actively participate in process improvement initiatives related to the Management System's usage and administrative procedures.
