Metropolitan State University of Denver is seeking an Assistant to the Associate Dean for the School of Education (SOE). This position manages the day-to-day functioning and supports the responsibilities of the office of the Associate Dean of SOE. The Assistant manages projects and events for theSOEto achieve the school's diversity, equity and inclusion vision and mission. They also are the curator ofSOEpolicies, manages and supports the use of technology business applications for improving productivity and inclusion in theSOE, collaborates closely with Human Resources, and supports effective internal communications to a diverse population.

Duties/Responsibilities

Administrative Support (50%)

SOE Associate Dean and Director of Office of Clinical Experiences and Partnership (OCEP)

- Assists with calendar management when needed for the Associate Dean.

- Assists with data management for over 600 filed placements each semesterfor OCEP.

- Supports data entry (e.g., Workday) for OCEP.

- Manages ad hoc SOE projects as assigned by Associate Dean:

  • Develops project plans

  • Manages deadlines

  • Identifies implications with forward thinking and problem solving

  • Identifies resources

  • Thinks through possible budgetary needs

  • Communicates with appropriate parties

SOE Processes and Internal Communication

  • Manages SOE calendar

  • Oversees SOE Policy Organization: collects, organizes, edits, formats, and manages all SOE policy materials

  • Manages SOE organizational chart

  • Implements design and content updates to the School of Education Faculty and Staff SharePoint site in consultation with SOE's communications lead

  • Maintains current SOE committee and task force memberships

  • Takes and manages minutes for SOE Dean's Cabinet meetings

  • Approves SOE email distribution listserv messages

Event Plannerfor School of Education (25%)

- Leads event planning and organizes special meetings for the School of Education:

  • Coordinates date and time setting

  • Manages virtual meeting spaces when applicable

  • Schedules venue and secures contracts

  • Orders catering and secures catering contracts

  • Manages invitations and RSVPs in collaboration with SOE's communication lead

  • Coordinates with outside guests and VIPs

  • Identifies total estimated budgets, submits budget requests, and spends within an approved budget

  • Follows strict purchasing procedures

  • Manages onsite day of event logistics

- Provides support to OCEP event planner to include:

  • Schedules venue and secures contracts

  • Communicates event details to stakeholders

  • Collaborates with AHEC and OCEP Coordinator for logistics

  • Orders catering and securing catering contracts

  • Provides on-site support during occasional evening events

HR Liaison for School of Education (25%)

  • Processes full-time and adjunct job requisitions in collaboration with HR and the identified SOE hiring manager

  • Serves as liaison between HR and SOE regarding up-to-date hiring processes and communications

  • Supports hiring processes and communications and provides guidance for SOE hiring managers

  • Creates and manages internal SOE specific HR guidelines

Required Qualifications

  • Associate's degree or the equivalent combination of education and relevant work experience (two years of experience equals one year of higher education)
  • Two years of administrative assistant experience
  • Proficient in Microsoft Office Suite
  • Experience managing sensitive and/or confidential information

  • Experience with budget
  • Experience in facilitating, maintaining, and serving as a liaison in internal and external professional relationships

Work Hours/Type

This is a hybrid position designed to support flexibility with both in-office work, as well as some remote schedules subject to supervisor approval and department needs.

Salary for Announcement

The full salary range for this position is $41,200 - 61,800; the anticipated hiring range is $50,000 - $55,000. The salary of the finalist selected for this role will be set based upon a variety of factors, including but not limited to, internal equity, experience, training, and qualifications.
