Overview

APPOINTMENT TYPE: Full-Time Regular (FTR)

LOCATION: Oak Ridge, TN

SALARY RANGE: $19.97 to 26.71 an hour

PURPOSE:

To perform administrative and production assistance to the Procurement Managers and Staff. Provide quality, customer focused, support services to the Procurement staff and customers in a fast-paced environment, requiring administration of multiple projects and tasks.



Responsibilities

Provides support to the Procurement Staff Managers, Subcontract Administrators, and Buyers to assist them in completing work assignments

    Expedites Procurement staff for weekly and monthly metric input and updates in coordination with the Procurement Analyst to ensure accurate output of reports.
  • Expedites and coordinates internal and external data calls related to procurement activity, as needed.
  • Provides notification to key customers, as requested, when expected lead times are appearing to exceed normal or requested cycle times.
  • Supports the maintenance of a consistent process for naming and managing electronic files.
  • Supports Procurement Staff Managers with resolving problems and discrepancies with requisitioners, suppliers, and accounting.
  • Facilitates communications between Procurement Staff and internal customers, as needed.
  • Assists and recommends administrative methods to improve workflow, simplify procedures, or implement cost reductions in procurement practices such as, record keeping, forms control, and performance standards or work measurements.

Performs Subcontract or Purchase Order close outs in the Oracle System

  • Ensures proper file documentation exists prior to close out.
  • Coordinates any needed audits with the Procurement Staff Manager and Analyst.
  • Transfers Subcontract or Purchase Order files from active to inactive status.

Serves as P&P Records Coordinator

  • Performs data entry into the records management system.
  • Oversees and assists with tracking, reporting, monitoring, and inventorying subcontract closeout files for retention and disposition.

Supports Procurement Systems

  • Enters clauses in the Oracle Procurement Contracts Contract Terms Library.
  • Tests system upgrades and new applications in the Oracle Procurement Modules.

Other duties as assigned



Qualifications

High school diploma and 4-6 years of job-related experience. An equivalent combination of education and experience performing duties as described may be substituted for the minimum requirements.

  • Work experience in a highly visible position responsible for prioritizing multiple concurrent activities and administering them independently without constant supervision.
  • Must possess Microsoft Excel and PowerPoint skills, good organizational skills, verbal skills (oral and written), and analytical skills.

  • Editing documents for consistency, quality, and accuracy.
  • Formatting presentations for procurement staff and management.

*The candidate's starting salary will be determined upon hire and ORAU will use salary survey data, internal comparators, and the candidate's qualifications to determine salary.
