This position is recognized as the lead classified position for the Dean of Student and Student Services. This includes the following units: Dean of Students, Counseling and Career Services, The KEYS program, and Veterans Affairs. This employee both represents the Dean of Students & Student Services and supports the diverse components of Student Services as a whole.

As the lead classified role in this department group, this employee is called upon to supervise office procedures and solve problems. Although the Administrative Assistant does not directly supervise and evaluate staff members, this person has a leadership role in office operations and with all Student Services student workers. This employee can serve as a point person called to the front desk reception area to address problematic situations.

Routine job responsibilities demand that this employee supervise processes including, but not limited to, student appointments, basic needs efforts, grant initiatives (as appropriately assigned by the Dean of Students), and triaging students in crisis.This position will also support the Dean of Students in the primary role of Administrative Assistant by keeping appointments calendars and schedules appointments; makes reservations and travel arrangements; receives and screens calls, providing advanced information, or referring callers to appropriate staff, attend departmental, staff and other professional meetings, as requested, to exchange information or take minutes. Serve as departmental liaison as directed by supervisor. Tracks, maintains, and reconciles budget information for assigned department(s). This employee must demonstrate a high degree of flexibility and a willingness to adapt to realities as processes, procedures, and positions evolve.

Due to the nature of daily interactions incumbent to this position, any error in judgment can have far-reaching effects. The Administrative Assistant is often the bearer of unwelcome news and/or students with high-risk needs. The employee must use tact, diplomacy, and persuasion in dealing with potentially volatile situations to ensure that these situations do not escalate into a prolonged and unproductive series of complaints. Consequences of errors in these areas include legal actions against the College and the potential to create a negative impression of the College within the community.

Hourly Range: $20.1867 - 21.5998 (depending upon experience above the minimum requirements)

Minimum Qualifications:

  • High School diploma/G.E.D. and 3 years relevant work experience.

  • Proficiency in Microsoft Office, especially Word, Excel, and Outlook

  • Ability to handle confidential matters with discretion.

  • Ability to communicate effectively. Ability to screen and solve problems.

  • Ability to work independently with general supervision.

  • Ability to multi-task. Ability to work within and respond effectively to time constraints.

  • Must be detail oriented and highly organized.
