Administrative Clerk (Engineering & Public Works) part-time

STARTING SALARY RANGE: $18.75 - $20.90 per hour working up to 19 hours per week. Salary dependent on qualifications. The salary range for this position is $18.75 - $27.34.This position is represented by a union; you may refer to the AFSCME collective bargaining agreement available on our website.

JOB SUMMARY:

This position performs a wide range of general office duties to include, but not limited to typing, copying, faxing, mail distribution, etc.To succeed in this role, applicants will need to effectively and clearly communicate to a full range of people inside and outside the organization, be capable of managing and prioritizing multiple projects with thoroughness and accuracy, and organize time and resources efficiently. The schedule for this position is Monday through Friday, 1:00pm to 5:00pm.

JOB DUTIES:

1. Acts as office receptionist. Answers incoming phone calls and provides routine information, or properly routes calls for appropriate resolution. Distributes incoming mail; prepares and routes outgoing mail.

2. Verifies computations and credit card statements; calls vendors to obtain invoices for credit card statements; determines if invoices are credit card or purchase order statements.

3. Gathers data and embeds the department's monthly report information for submittal within the designated timeframe.

4. Calls vendors and updates bidders' lists with current information.

5. Provides support to supervisory staff for preparation of administrative documents. Types moderately difficult material which may require the exercise of judgment in processing information within specified format. Prepares routine correspondence and proofs for accuracy.

6. Formats department forms and templates.

7. Copies, sorts, and collates documents for assembly. Files documents as appropriate.

8. Performs other duties as assigned.

QUALIFICATIONS:

1. Education equivalent to a high school diploma.

2. Up to 6 months of general office experience.

3. Proficiency with current computer technology, job-specific software, and customer service systems.
