As a (Hybrid) Administrative Assistant, you will provide administrative support to the Director and Staff of the Clinical Research Unit (CRU) at the West Virginia University Cancer Institute (WVUCI).

What you'll do:



  • Oversee key office administrative duties such as supply ordering, inventory, mail delivery, centralized phone and email contact.
  • Receive CRU visitors, vendors and investigators.
  • Assist in document collection from the Principal Investigator, Co- Investigator, Research staff, nurses for IRB submissions and protocol compliance.
  • Maintain CVs, Licenses, NCI Registrations, IRB required training certifications, Lab certification files for all WVUCI sites, including affiliate locations.
  • Assist in maintaining protocol regulatory binders.
  • Compile study documents and patients charts for shipment to off-site storage or archiving.
  • Contact Sponsors when protocols files are eligible for destruction.
  • Perform data input into the OnCore database.
  • Manage scheduling for CRU meetings and external monitors, locating meeting rooms, catering and other required items as necessary, documenting on centralized unit Outlook calendars.
  • Produce meeting agendas and meeting minutes for staff and leadership meetings as necessary.
  • Prepare invoices, reports, memos, letters, financial statements and other documents, using word processing, spreadsheet, database, or presentation software.
  • Read and analyze incoming memos, submissions, and reports to determine their significance and plan their distribution.
  • Assist in budget and contract routing to the WVU Office of Sponsored Programs.
  • Coordinate the WVUCI Protocol Review and monitoring committee, including setting agendas, meeting minutes and updating status in OnCore.

Qualifications

  • Associate degree from 2-year college, or technical school, or an equivalent combination of education and experience.
  • A minimum of three (3) years of experience providing administrative support.
  • Skilled at managing and maintaining multiple schedules along with own workload.
  • Knowledge of administrative and clerical procedures and systems such as word processing, managing files and records, stenography and transcription, designing forms, and other office procedures and terminology.
  • Strong verbal and written communication skills.
  • Knowledge of computer software, including Microsoft Outlook, Word, Excel and presentation applications.
  • Knowledge of the structure and content of the English language including the meaning and spelling of words, rules of composition, and grammar.
  • Skilled at creating reports, memos, and other documents.
  • Maintains skills in, or knowledge of, professional principles, legal and/or reporting requirements affecting area of responsibility.
  • Ability to read and comprehend instructions, correspondence, and memos.
  • Ability to effectively present information in one-on-one and small group situations to customers, clients, and other employees of the organization.
  • Ability to add, subtract, multiply and divide in all units of measure, using whole numbers, common fractions, and decimals.
  • Ability to compute rate, ratio and percent and to draw and interpret bar graphs.
  • Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form.
  • Ability to deal with problems involving several concrete variables in standardized situations.


Preferred Qualifications:



  • Bachelor's degree.
