West Virginia University is currently accepting applications for a Hybrid EDM Workforce Administration Associate

About the Opportunity

As an EDM Workforce Administration Associate, you will work in the Employee Data Management area of Shared Services Workforce Administration. This position will focus on ensuring that positions are properly set up in the MAP and is responsible for maintaining the supervisor and HR organization hierarchies and the job description repository. This position will process and key human resources and payroll information for all positions into MAP. This position will also be responsible for the accurate filing and retrieval of all hard copy human resources documents that are contained in the employee files.

What you'll do:

* POSITION HIERARCHY AND MAINTENANCE

* Creates in inputs position data into MAP. Ensures position data is correct and aligned with the position classification, FTE, standard conditions, and organizational hierarchy

* Queries MAP to identify vacant position numbers.

* Modifies and/or corrects existing position data in the production database, which includes position title and grade, FTE, and organizational changes as directed by Talent and COE, or College/Unit Business Strategic Advisors

* Maintains all information contained in the MAP position flex fields (EEO codes, SOC codes, exemption status, position attributes, etc.).

* Works collaboratively with others in the workforce administration team, COE and College/Unit Business Strategic Advisors, to resolve discrepancies and other issues.

* Demonstrates service excellence and positive interpersonal relations when working with all other internal and external customers.

* Creates and updates supervisor changes that link to the time and leave systems.

* Updates existing positions and creates new positions for employment recruitment.

* Completes promotion and tenure processing in MAP

* Communicates final compensation review results to business units upon notification from COE Compensation team.

* Maintains WVU Parkersburg position/ supervisor/ organization changes.

* Runs standard reports in MAP needed to review and audit work performed, such as hierarchy reports.

* Has System Administrator (Sys Admin) responsibility in the MAP production database. Can add new position titles, job types, EEO codes and other value sets as needed.

* Maintains and updates MAP tables with new/deleted job titles, job codes, and other changes)

* Updates salary range tables with new/revised salary ranges.

* Tests existing and updated system applications for Oracle HRMS modules, including system patches and creative work-arounds.

* Researches case specific and systemic issues and works collaboratively with others in IT to increase functionality and efficiency of the Oracle HR database.

* Assists direct report supervisor with projects designed for process improvement & enhanced customer

* Uses appropriate judgement to escalate complex position and hierarchy issues and works collaboratively with COE and others to resolve issues.

* May assist with other work related to MAP as needed.

* EMPLOYEE DATA MANAGEMENT

* Keys information into the Mountaineer Administrative Processing system (MAP) for all changes to existing employee's data. This includes, but is not limited to position changes, changes in salary, terminations, tax and address changes, etc.,

* Responsible for accurate input of all transactions into HR systems within specific and designated time frames to ensure timely processing

* Audits, certifies and rectifies employee data from Taleo Onboarding in order to execute WVU Hire to MAP syncing process.

* Creates and inputs into MAP all aspects of position data.

* Ensures the upload, and notification, of Tax and Direct Deposit forms to the Payroll staff after employee has been keyed

* RECORDS ROOM MAINTENANCE

* Organizes and files documents within the appropriate filing system for all regular and temporary, retired and terminated non-classified, faculty, FEAP and temporary employees at West Virginia University.

* Creates files for new employees using established procedures.

* Ensures files are organized and documents are filed in the appropriate location.

* Upon request and following established guidelines, retrieves files for review by authorized staff.

* Provides copies of information from files upon request by authorized staff.

Other duties or special projects as assigned.

Qualifications

Education:

Associates degree in business, Human Resources, or a related field or equivalent combination of applicable work experience.

Experience:

2 years of experience:

Administrative experience, preferably in employee benefits or human resources.

Demonstrated experience in the use of Microsoft Office applications (Excel, Word, PowerPoint, Access) and work experience in practical application of Oracle or similar personnel/payroll data management system.

Prior working knowledge of Oracle is preferred.

Knowledge, Skills, and Abilities

Attention to detail and accuracy with keying information.

Ability to research complex issues and prepare options for resolution.

Thorough understanding of relational databases and human resources/payroll systems (Oracle preferred)

Working knowledge of report generation.

Demonstrated experience navigating multiple computer screens, including entry of required information.

Ability to manage multiple tasks.

Communicate effectively, both orally and in writing.

Effective interpersonal skills and demonstrated success with ability to build and maintain effective work relationships.

High degree of integrity and reliability.

Demonstrated ability to use Microsoft office products, such as Excel, Word, Access.

Demonstrated experience in providing exceptional level of customer service, to all levels of the organization.

Ability to maintain confidential files in an accurate manner.
