Executive Assistant

Responsibilities

This individual will have a high level of experience and professionalism to support the CEO, the Executive Vice President, General Counsel (GC), Legal, and Corporate Communications departments with detailed administrative functions. The primary focus is to provide outstanding senior level support in a fast-paced environment, while representing the company and department in a professional manner. Daily tasks will be demanding and varied, requiring the ability to deal with ambiguity and changing and competing priorities efficiently. Duties will include:

  • Handle CEO's and GC's calendars, travel plans and expense reports.
  • Assist with Legal department budget process, including maintaining p-card expenses, coding outside counsel/vendor invoices, and completing employee expense reports; ensure appropriate documentation is routed to accounts payable for processing and reconcile discrepancies.
  • Legal entity management, including preparation and submission of annual reports and related filings for company entities and maintenance of corporate record books.
  • Aggregate and upload Board meeting materials to the electronic Board portal.
  • Exercise resourcefulness for problem solving in a fast-paced environment.
  • Prepare quarterly Board of Director compensation payments and distributions; routinely correspond with the Board of Directors regarding compensation, schedules, resolutions, and consents.
  • Perform various administrative duties such as typing, copying, faxing, filing, ordering supplies, calendar management, email correspondence, travel planning, and setting up on-site meetings for Legal team.
  • Support the CEO and GC with confidential and high-level executive activities and special projects, including PowerPoint presentations and complex Word and Excel documents.
  • Exercise discretion and maintain strict confidentiality.

Qualifications

  • College degree preferred.
  • A minimum of 10 years' experience in administration with at least 5 years at the executive level.
  • Experience supporting C-Suite level in a publicly traded company preferred.
  • Energy industry or legal firm experience preferred.
  • Paralegal certification preferred.
  • Notary public credentials preferred.
  • Advanced knowledge of all Microsoft office components and computer proficiency required. Advanced Word and PowerPoint skills needed.
  • Strong attention to detail.
  • Polished and professional demeanor with the ability to remain composed under pressure.
  • Experience working with Diligent or other Board portal software.
  • Ability to keep track of deadlines, time manage and multi-task.
  • Ability to work independently and as a team player.
  • Trustworthy and able to maintain confidentiality.
  • Must have the ability to excel in a fast-paced environment.
  • Must demonstrate ability to proactively and consistently follow-up on outstanding items.
  • Excellent telephone, communication, and professional skills.
