About The Role

The Receptionist is responsible for answering and transferring incoming phone calls, as well as serving as the first point of contact for visitors to the Summerlin North Community Association Management Office.

What You Will Do

  • Answer incoming phone calls and direct to appropriate person or department.

  • Screen incoming phone calls as appropriate and transfer as necessary.

  • Serve as the first point of contact for all visitors and direct them to the person or people they are scheduled to meet.

  • Maintain conference room calendar.

  • Update and distribute phone extension list as required.

  • Monitor and respond to various email inboxes.

  • Process and distribute Resale Documents.

  • Assist with the distribution of homeowner paint pallets and other design review elements as required.

  • Sort and distribute mail and other documents within the department. Ensure timely forwarding and/or pick up of priority mail.

  • Postmark outgoing mail and deliver to mailroom.

  • Create and maintain various schedules and data spreadsheets including street lists, sub-association lists and information, employee phone information and Community Representative assigned areas.

  • Assist with filing, copying, mailings as needed.

  • Perform other administrative tasks as assigned and as necessary to support management staff.

  • Prepare overnight/courier deliveries as requested. Ensure the mail room is stocked with appropriate shipping supplies.

  • Inventory the office, break room and kitchen supplies on a weekly basis. Replenish on a daily basis or as often as necessary.

  • Ensure all copiers and printers are fully stocked with paper on a daily basis and replace any low or empty toner cartridges as necessary.

  • Keep the break rooms and kitchens clean and organized.

  • Light office cleaning, as necessary throughout the day, such as ensuring all glass throughout the office is clean and free of fingerprints and smudges.

  • Ensure all office common areas are clean, neat, and organized. This includes the front lobby and conference rooms.

  • Liaison with other Summerlin departments and throughout the company.

  • Be proactive during down time.

  • Assist other departments with projects, as requested.

  • Working hours will be Monday through Friday, from 8:00AM - 5:00PM, with a one-hour lunch break.

  • Typical office environment.

  • Other general administrative duties, as assigned.

  • Must enjoy a high level of public interaction.

  • The ability to work in a pleasant, efficient, and effective manner with people is vital.

  • Must have good phone etiquette skills.

  • Maintain a professional appearance at all times.

  • A basic understanding of homeowners' association and property management issues preferred.

  • Professional interaction with employees, homeowners, and vendors.

  • Must have a strong work ethic and be reliable and dependable.

  • Build positive working relationships with employees at all levels within the organization.

  • Be resourceful and able to work efficiently even if given very little direction and information.

  • Able to effectively multi-task and handle multiple projects.

  • Exercise sound judgment when making decisions and willing to ask if unsure.

  • Effectively work with minimal supervision.

  • Strong Attention to Detail skills.

  • Exceptional Communication Skills both verbal and written.

  • Good problem solver/creative thinker.

  • "Can-do" attitude and pro-active.

  • Proficient in MS office applications: Outlook, Word, Excel, Power Point.

  • Ability to learn and utilize various internal and external computer systems and applications.

  • Dress code is business professional.

  • Physical presence is required onsite.
