About the role


The Development Assistant, Operations works closely with managers across the Development team to assist with gift processing and acknowledgment, data integrity, prospect research, and other administrative tasks. The Development department is responsible for all fundraising activities and events, liaising with key stakeholders across all donor constituencies, and serving as a definitive focal point for our relationships with community supporters and influencers.
Responsibilities:
Gift Processing and Operations:


  • Assist with the processing of all gifts received via lockbox, mail, and online donations, including both credit card processing and checks received
  • Responsible for utilizing existing systems (both Tessitura and Sharepoint folders) to maintain donor gift back-up
  • Efficiently and accurately enter and update donor and prospect information into Tessitura databases on a regular basis
  • Process mail edits, which includes researching bad addresses and completing changes of address on returned mail
  • Support the entire Development team-including Individual Giving, Membership, Corporate, Institutional Giving, and Special Events-with information retrieval for their related gifts
  • Work with development officers to build and maintain queries and reports using Tessitura
  • Support Director of Development Operations in financial reconciliation and annual audit
  • Coordinate meetings between the Museum's Director and gift officers, including all aspects of funding, departmental, and individual moves management meetings
  • Participate in long- and short-term development strategic planning to meet fundraising goals


Donor Crediting:


  • Working in partnership with the Exhibitions, Editorial and Design departments, lead on donor crediting and gift recognition opportunities within the Museum


Research:


  • Conduct research using the iWave database and identify appropriate online services, magazines, and research tools
  • Prepare briefing materials and help conduct research for the Museum's director, gift officers, and managers of foundation and corporate relations
  • Monitor patron activity through Tessitura reports and keep abreast of news, and philanthropic publications to identify new prospects
  • Other duties as assigned



Qualifications:


  • Bachelor's degree or one or more years of related professional experience in development
  • Demonstrated experience using Tessitura or a similar fundraising database in a nonprofit organization
  • Proficiency in Microsoft Office
  • Strong technology skills and general computer literacy; knowledge of online information resources such as LexisNexis and iWave is preferred
  • Excellent verbal and written communication skills
  • Aptitude for maintaining and creating systems, strong analytical abilities, and attention to detail

Schedule: 35 hours per week, Monday through Friday, 9 am to 5 pm
