Creighton University is seeking to hire an Executive Assistant for the Institute for Population Health and the School of Medicine This is a full-time, hourly position on campus.

Key Responsibilities

Provides administrative support to the Institute for Population Health, and the School of Medicine's Dean's office. Positions supported include, IPH Senior Director, Program Manager, Highlander Director and staff, and SOM Associate and Assistant Deans, administrators and staff as needed. Performs complex, advanced, diversified, sensitive, and confidential administrative duties that require care and discretion. Organizes and maintains correspondence and projects, following up on pending matters with limited direction. Prepares special reports and correspondence, summarizing and analyzing data. Maintains minutes for leadership meetings. Communicates with individuals at all levels in the organization, industry, and community. Assignments are broad in nature and usually require critical thinking, initiative, and the ability to work independently. Assists in the scheduling of SOM and Highlander conference rooms and understands the procurement of all room reservations within the University. Provides reception for guests who will access the IPH and SOM programs within the Werner building. Will work closely with the SOM Executive Assistant to collaborate on job duties and to provide backup services when either position Is out of the office.



  • Manages the calendar for the IPH staff including the Senior Director, Program Manager, Highlander Director, research, and data analysts. In addition, supports IPH by preparing a variety of information, including memos, letters, and reports that have critical information that may be time sensitive and confidential. Prepares meeting agendas and maintains minutes. Prepares confidential summaries of issues related to faculty, students, donors, and other areas of relevance.
  • Responds appropriately to phone calls, emails, and other inquiries. Routes phone calls appropriately, takes messages, and assists callers with questions. Plans schedules, coordinates meetings and makes travel arrangements. Coordinates room reservations, catering, transportation involved, etc.
  • Receives, sorts, distributes and/or handles incoming mail and other documents and correspondence. Manages time sensitive requests.
  • O rders office supply materials, assists in completing TERs for faculty, staff or students and provides backup to the SOM Executive assistant for situations that require additional support.
  • Greets visiting scholars and other guests which may include developing itineraries, arranging necessary accommodations, securing reservations for rooms and meetings.



Qualifications



  • High School diploma or equivalent; some college and/or associate degree
  • Bachelor's degree in related field is preferred.
  • 5+ years administrative and/or office management experience or equivalent experience. Knowledge and experience in higher education preferred
  • Proficiency in Microsoft Office Suite to include Word, Excel, PowerPoint, and Outlook and ability to learn new software applications.
  • Demonstrated customer service focus and ability to resolve conflict and deal with demanding clients. Ability to think independently and analyze problems and reach solutions.
  • Ability to multi-task, work independently, as well as anticipate required work and self-initiate projects that have periodic or cyclical deadlines.
