We are seeking an exceptional Executive Assistant to provide high-level support to Research and Development executives in our dynamic, mid-size company. This role is crucial in ensuring the smooth operation of our executive function and requires a proactive, detail-oriented professional with superior organizational and interpersonal skills.

ESSENTIAL DUTIES



  • Manage complex calendars and schedules for multiple Executives, including coordinating meetings, travel arrangements, and prioritizing commitments.
  • Serve as the primary point of contact for internal and external stakeholders, handling communications with discretion and professionalism.
  • Prepare and edit correspondence, presentations, and reports with meticulous attention to detail.
  • Organize and maintain executive files and records, ensuring easy access to critical information.
  • Plan and coordinate high-level meetings, events, and conferences.
  • Manage expense reports and budget tracking for the executive offices.
  • Anticipate the needs of the executives, proactively addressing potential issues before they arise.
  • Handle confidential and sensitive information with the utmost discretion.
  • Provide general administrative support, including managing incoming requests, greeting visitors, and handling mail.
  • Identifies process improvements and assists in planning, coordinating, and implementing new programs or procedures.
  • Establish priorities and manage a diverse workload.
  • Acts as a resource for colleagues with less experience.



MINIMUM QUALIFICATION REQUIREMENTS

Education

Bachelor's degree or, equivalent of education and experience sufficient to successfully perform the essential functions of the job may be considered.

Experience



  • Minimum 7 years experience supporting C-level or senior executives.


  • Experience in a global business environment preferred.
  • Professional certification (e.g., Certified Administrative Professional) is a plus.



Skills



  • Exceptional organizational skills with a proven ability to multitask and prioritize in a fast-paced environment
  • Superior written and verbal communication skills
  • Advanced proficiency in Microsoft Office Suite and other relevant software
  • Demonstrated ability to exercise good judgment, show initiative, and maintain confidentiality
  • Strong problem-solving skills and ability to work independently.
  • Ability to successfully undertake multiple assignments simultaneously.

PHYSICAL REQUIREMENTS



  • Typical Office Environment requirements include: reading, speaking, hearing, close vision, walking, bending, sitting, and occasional lifting up to 20 pounds.Must be on site.

Target Pay Range:$30.00to$38.00- Hourly pay rateto be determined by the education, experience, knowledge, skills, and abilities of the applicant, internal equity, and alignment with market data

Target Bonus on Base:7.0%
