BASIC PURPOSE

The Women's Ministry Program - Administrative Aide is responsible for providing day-to-day administrative support to the women's department. The Women's Ministry Program Aide must possess strong organizational skills with the ability to be detailed in their work. The Women's Ministry Program Aide must be flexible and able to handle multiple priorities simultaneously, be able to work independently or with little supervision, be self-motivated, able to set priorities and apply excellent time management skills. Must be knowledgeable of women's ministry and community corps ministry. Must be knowledgeable of The Salvation Army.

ESSENTIAL DUTIES AND RESPONSIBILITIES



  1. Serve as coordinator for administrative duties in the department.
  2. Ensure that the clerical and administrative work of the women's department conforms to The Salvation Army Policies.
  3. Maintains department files, including mailing list and rosters for the officers.
  4. Assist the Divisional Women's Ministry Secretary, Women's Ministry Secretary and Community Corps Ministry Secretary with correspondence as necessary and follow up as appropriate; making phone calls; coordinating calendars and scheduling meetings.
  5. Prepare conference rooms for in-person meetings - includes technology set-up and clean-up of conference rooms.
  6. Receives incoming telephone calls to the women's department; responds to phone inquiries and forwards messages as appropriate.
  7. Handle correspondence as needed for the department.
  8. Prepares and processes reports as assigned.
  9. Coordinates receipt of reports from the field officers/corps and prepares final reports to Territorial Headquarters.
  10. Coordinates and prepares mass mailings and special custom mailings.
  11. Interfaces with corps officers, Divisional Headquarters officers, staff, and Territorial Headquarters departments.
  12. Participates in special projects.
  13. Coordinate meetings.
  14. Assist as requested in various programs and seasonal activities and events including those held off site and off hours.
  15. Help plan events.
  16. Create newsletters, flyers and other desktop publishing as requested.
  17. Assist with registration for various events.
  18. Equipment upkeep in the office. Order supplies.
  19. Submit monthly reports to Territorial Headquarters (women's ministry/ Community Corps Ministry Report)
  20. Submit annual yearend report to Territorial Headquarters.
  21. Prison ministry for Community Corps Ministry Secretary
  22. Be knowledgeable about women's ministry/home league.
  23. Be willing to teach bible study and devotional for Women's Ministry or Corps Community Ministry.
  24. Willing to travel and help Divisional Women's Ministry Secretary with Community Corps Ministry or Woman's Ministry programing.


KNOWLEDGE, SKILLS, ABILITIES AND OTHER QUALIFICATIONS REQUIREMENTS



  1. Must be able to work with minimal supervision, be prepared to encounter a variety of assignments and timelines and maintain confidentiality of sensitive materials and information.
  2. Must align with TSA's core values and mission statement, and possess a strong personal commitment to Christ, be a person of high integrity, and feel comfortable discussing Christianity with children and adults.
  3. Must be able to take instruction and be able to manage change
  4. Must possess excellent written and oral communication skills and be able to draft and edit professional level communication.
  5. Must be proficient in computer programs such as Microsoft office, excel, power point, publisher, Outlook, word, skills in a mail merger, transcription, and typing essential.
  6. Must be willing to learn The Salvation Army computer programs.
  7. Must have organizational skills including multi-tasking, time management and office systems (including maintaining files).
  8. Must demonstrate good judgment, act, and dress in a professional manner.
  9. Must be knowledgeable of The Salvation Army.
  10. Must have the ability to speak and write in English.
  11. Must be able to work with a team and with multiple supervisors.
  12. High school diploma required, and some college preferred.
  13. At least 2 years' administrative experience.
  14. Must have a clean DMV and be able to meet fleet safety driving guidelines.
  15. Preference for a candidate who has creative abilities, has had prior experience with decorating large facilities and coordinating community events.
  16. Preference for a candidate who has previous ministry experience of 1-3 years.
  17. The ability to operate under stressful working conditions in a rapidly changing work environment with multiple priorities.


CERTIFICATES, LICENSES, REGISTRATIONS



  1. Must possess a valid California Class C Driver License, and ability to drive a Salvation Army vehicle.
  2. Must be 21 years or older.
  3. Complete The Salvation Army vehicle course training


PHYSICAL REQUIREMENTS:



  1. Ability to sit, walk, stand, bend, squat, climb, kneel, and twist on an intermittent or sometimes continuous basis.
  2. Ability to grasp, push, and/or pull objects.
  3. Ability to reach overhead.
  4. Ability to operate telephone.
  5. Ability to lift to 25 lbs. for administrative positions.
  6. Ability to operate a computer.
  7. Ability to process written, visual, and/or verbal information.
  8. Ability to operate basic office equipment and tools PC, Telephone, Calculator, Copier, Printer.
