Job Summary

The Office of Clinical Trials Activation (OCTA) Senior Operations Analyst will be responsible for coordinating efforts to activate clinical trials through OCTA and other Office of Research workstreams. The experienced incumbent will act independently in assessing the necessary compliance and operational needs with respect to activating clinical trials and engaging various workstreams. The incumbent will be able to demonstrate a thorough understanding of the capabilities and responsibilities within each of the Office of Research workstreams.

The Senior Operations Analyst's responsibilities also include day-to-day activation tasks, which include organizing study documents, data management within various systems, initiating OCTA activation workstreams, as well as ensuring data and information quality for operations and analytics. They will monitor the clinical activation pipeline within their assigned OCTA team, identify delays, escalation paths and countermeasures, including but not limited to coordination with other central units within UCSF.

The Senior Operations Analyst will be responsible for project coordination of OnCore Financials kickoff meetings and kickoff processes, coordinating across department analysts, study teams and post-award analysts.

They will also actively participate or manage projects as assigned by the team's manager or department lead.

The final salary and offer components are subject to additional approvals based on UC policy.

Your placement within the salary range is dependent on a number of factors including your work experience and internal equity within this position classification at UCSF. For positions that are represented by a labor union, placement within the salary range will be guided by the rules in the collective bargaining agreement.

The salary range for this position is $81,000 - $121,600 (Annual Rate).

Department Description

The Office of Clinical Trials Activation (OCTA) provides business support to investigators and study teams initiating and conducting clinical trials. This includes maintaining a clinical trial management system (CTMS), conducting Medicare coverage analysis, developing budgets for clinical research studies, negotiating payment terms with industry and nonprofit sponsors and providing clinical research infrastructure/services. OCTA works to increase efficiencies, transparency and implement improvements throughout the entire clinical trial pipeline process, as well as develop and provide access to dashboards and regular reporting to leadership and stakeholders. OCTA services improve compliance and enable a more rapid activation of clinical trials to increase and improve patient care and provide cutting edge treatment opportunities for our patients and advance our research mission.

Required Qualifications


  • Bachelor's degree in related area and / or equivalent experience / training.
  • Three (3) or more years of work experience in administrative analysis, operations research or related work experience.
  • Thorough understanding of research administration guidelines of Federal and non-Federal sponsors supporting research and educational activities, preferably in a university environment.
  • Ability to manage a high volume of transactions/data with high level of accuracy
  • Ability to maintain independent judgment; strong organization and communication skills; and a customer service focus across broad and diverse subject areas.
  • Demonstrated competence in the use of Microsoft Office, including Word, Excel and Outlook; ability to learn Salesforce or similar database software.
  • Effective problem-solving skills; ability to multi-task and work in deadline-driven environment

Preferred Qualifications


  • Thorough knowledge of applicable compliance requirements related to use of human or animal subjects in research, financial conflict of interest, biosafety, etc.
  • Ability to perform moderately complex financial analysis and customized reporting.
  • Demonstrated competence in the use of spreadsheet and database software in financial analysis, fiscal management and financial reports.
  • Maintains current knowledge of compliance regulations in all areas of research administration.
  • Demonstrated knowledge of generally accepted accounting, fiscal and reporting principles.
  • Demonstrated knowledge of effective grant funding processes, procedures and techniques
  • Strong writing skills in a variety of styles to draft persuasive text for a variety of audiences while ensuring adherence to funding sponsor's guidelines.
  • Experience within an Academic Medical Center environment
  • Familiarity with UCSF contracts and grants policies and procedures.
  • Experience in a clinical or research environment.
  • Previous project management experience
  • Knowledge of clinical trials, research administration and/or medical procedural coding
  • Knowledge of clinical research procedures and processes, particularly for cancer research
