The Opportunity:

UCF's College of Community Innovation and Education Dean's Office invites applications for an Executive Assistant II position. This role provides administrative support to the Dean of CCIE, as well as manages and oversees the administrative functions of the Office of the Dean. The position is located in the Office of the Dean on the main campus. There may be occasions to work on the downtown campus due to activities, events, and initiatives where support from this position is needed.

Responsibilities:


  • Provide administrative support to the Dean, which may include representing the Dean in matters as authorized.

  • Maintain the dean's schedule, all files and other records in the Office of the Dean, and assist with all facets of CCIE operations

  • Organize and conduct routine meetings with college administrative staff.

  • Prepare and organize meeting materials and information.

  • Arrange travel.

  • Provide written responses to routine matters for the Office of the Dean and draft correspondence for the Dean.

  • Assure accuracy of all items submitted for the Dean's signature and approval, as well as coordinating the proper handling and follow-up of such items.

  • Provide administrative support to the dean relevant to cross-campus, interdisciplinary, or community partnership activities.

  • Serve as communications liaison to the Dean's Advisory Council and CCIE Faculty Council as directed by Office of the Dean administrators.

  • Communicate with faculty, staff, and external constituencies, as directed by the Office of the Dean administrators.

  • Staff the College Council meetings and serve as a staff representative on the Council.

  • Provide administrative support to faculty and staff assemblies and other meetings at the Dean's request.

  • Plan and coordinate special events for the Dean, such as receptions, luncheons, retreats, and workshops.

  • Review records and requests that require action and recommend solutions or courses of action.

  • Supervise USPS staff member student assistants for the Office of the Dean which may include training, evaluating, and hiring of Federal Work Study employees.

  • Liaise with the HRBC to hire and onboard staff and other student employees.

  • Oversee college records and retention efforts.

  • Provide information, recommendations, and proper procedures to CCIE faculty, staff, students, and others.

  • Initiate applicable research, inquiry, or investigation as authorized by the Dean.

  • Assist with new faculty orientation and other college-wide meetings and events involving the Dean.

  • Coordinate the development of the CCIE annual report and special reports.

  • Handle other duties, responsibilities, and assignments as deemed appropriate.


Minimum Qualifications:

Bachelor's or Master's degree and 4+ years of relevant experience, or an equivalent combination of education and experience pursuant to Fla. Stat. 112.219. Click here for more information

Preferred Qualifications:


  • Excellent interpersonal and communication skills (verbal and written), including the ability to follow verbal and written instructions.

  • Exceptional organizational and time management skills, including the ability to handle multiple assignments simultaneously and manage deadlines.

  • Ability to use good judgment, independent thinking, and problem-solving skills.

  • Experience planning and coordinating activities and projects.

  • Excellent computer skills including but not limited to MS Office Suite.

  • Experience providing administrative support at the executive management level.

  • Experience in a university setting and knowledge of university administrative practices.
