The Opportunity:

UCF Housing and Residence Life seeks an Administrative Assistant I to join their team! The Administrative Assistant I serve as a customer service representative and manages the operations for the Housing Administrative Services building. Serves as the primary point of contact for visitors and staff. This position will also serve as a backup to the Assignments staff for Housing questions.

This is an auxiliary funded position. Employment is subject to availability of funding and may cease at the time funding for this employment is depleted.

Responsibilities:


  • Responsible for open/close of the HAB Office.

  • Maintains the office and reception desk.

  • Greets and serves as a primary point of contact for building visitors, clients, students, and staff.

  • Controls entry into office area.

  • Answers telephone and in person inquiries regarding staff located in this building, the housing assignment process, and general questions.

  • Receives mail and incoming packages, oversee distribution to internal housing mailboxes. Coordinates daily mail deliveries between HAB, Housing Services and other offices on campus. Manages outgoing US postal and interdepartmental mail.

  • Keeps common areas of building including lobby and kitchen clean, well-organized, and stocked with supplies. Creates and submits work orders and schedules services for housekeeping and maintenance.

  • Purchases/orders and maintains office supplies and inventory. Keeps common area stocked. Manages office equipment repair and maintenance (i.e., copier).

  • Responsible for department employee database, distribution lists, and organization chart. Maintains the HAB conference room calendar in addition to Director's calendars as required.

  • Assists with staff onboarding and exit tasks Serves on assigned department committees.

  • Assists on special projects and tasks as assigned.

  • Processes, tracks, and stores documents: digital and printed.

  • Assists with department and university move-in/move out as assigned.

  • Oversees use and reservations for shared department vehicles including vans and golf carts, specifically those stationed at building 73 (Housing Administration Building).

  • Other duties as assigned by Direct Supervisor and/or Director(s) of the department.


Minimum Qualifications:

High School Diploma or Equivalent and 0+ years of relevant experience, or an equivalent combination of education and experience pursuant to Fla. Stat. 112.219. Click here for more information

Preferred Qualifications:


  • University Housing experience.

  • Administrative Assistant experience.

  • Customer service experience.

  • MS Office experience.
