The Director of Advancement Services is a strategic and operational leader responsible for managing the data services within the Development, Alumni Relations and External Affairs department. This role involves overseeing data management, reporting, and analytics to support the university's fundraising and donor engagement efforts. The Director will ensure the integrity, accuracy, and security of the university's advancement data and provide actionable insights to drive strategic decision-making.

This position will oversee all databases that serve the office of Development and Alumni Relations. The Director's primary responsibilities are to effectively maintain donor information in the University's databases, prepare reports and communications utilizing that information and ensure the databases are understood by new and existing users and to help the system grow and evolve.



Responsibilities

Leadership and Management:

    Lead and manage the Advancement Services team, including hiring, training, and evaluating staff.
  • Develop and implement strategic plans for the Advancement Services department to support the university's fundraising and engagement goals.
  • Collaborate with senior leadership to align data services with the university's strategic priorities.
  • Create written policies and procedures and train colleagues in using the systems efficiently and effectively.
  • Conduct ongoing training with Development, Alumni Relations, and External Affairs team members for their specific areas of use and oversee the adherence to policies and procedures that maintain the integrity of the data and systems
  • Supervise Senior Data Analyst.

Data Management and Integrity:

  • Oversee the maintenance, integrity, and security of the university's advancement database (e.g., Raiser's Edge).
  • Develop and enforce data entry standards, policies, and procedures to ensure accuracy and consistency.
  • Ensure accurate and timely recording of gifts, pledges, and donor information.
  • Conduct regular data audits and cleanups to maintain data quality.

Reporting and Analytics:

  • Design and generate reports, dashboards, and data visualizations to inform strategic decision-making and track progress towards goals.
  • Oversee the reconciliation of fundraising revenue with the Business Office and auditors. Produce regular fundraising reports showing the department's financial progress to goal
  • Analyze fundraising and engagement data to identify trends, opportunities, and challenges.
  • Provide actionable insights and recommendations to enhance fundraising strategies and alumni engagement.
  • Manage gift entry, gift processing, acknowledgement, and pledge reminder systems for the department. Produce correspondence that is accurate and timely and in accordance with the IRS regulations.
  • Assist with daily composition of gift acknowledgement letters for all giving levels and constituencies.

Systems and Technology:

  • Manage the advancement database system, including upgrades, integrations, and troubleshooting; coordinate with software vendors and consultants to optimize system performance and functionality.
  • Evaluate, implement, and manage technology solutions to improve data management and reporting capabilities.
  • Ensure the effective integration of various systems and tools used within the Development, Alumni Relations and External Affairs department.
  • Stay updated on emerging trends and technologies in advancement services and data management.

Collaboration and Communication:

  • Work closely with fundraising, alumni relations, and communication teams to understand their data needs and provide support.
  • Partner with the fundraising team to provide data insights for donor cultivation, solicitation, and stewardship.
  • Serve as the primary point of contact for data-related inquiries and requests from internal stakeholders.
  • Ensure user training and support for advancement staff on data systems and reporting tools
  • In collaboration with the Director of Major Gifts, develop and maintain protocol for prospect management and tracking in Raiser's Edge. Create mechanisms for Development staff to track and manage all donor interactions.
  • Produce moves management reports and monitor overall departmental progress monthly towards portfolio visit and financial goals.
  • Oversee the generation of all listings for the Annual Report.

Compliance and Risk Management:

  • Ensure compliance with university policies, industry standards, and legal requirements related to data privacy and security.
  • Develop and implement risk management strategies to protect sensitive data and mitigate potential breaches.
  • Represent the Development, Alumni Relations and External Affairs department on various data security committees and governance teams.
  • Track all aspects of scholarship and award funding. Ensure all information about scholarship and award donors, funds and recipients is current in Raiser's Edge database. Work with appropriate departments to ensure installments are secured in a timely manner.


Qualifications

  • Bachelor's degree in information systems, data management, business administration, or a related field.
  • Minimum of 5 years of experience in data management, advancement services, or a related field within a higher education or nonprofit environment.
  • Proven experience with advancement databases and data reporting tools; preference will be given to candidate with experience managing Raiser's Edge.
  • Strong analytical skills.
  • Excellent leadership and team management abilities.
  • Strong communication and interpersonal skills, with the ability to collaborate effectively with diverse stakeholders.
  • Must possess a high degree of proficiency and integrity relative to information security as well as broad knowledge of applicable data security/privacy practices.

In compliance with local legislation as well as to provide greater transparency to candidates, the annual base salary range for this position is listed. New York Tech considers factors such as (but not limited to) scope and responsibilities of the position, candidate experience/expertise, education/training, key skills, geographic location, internal peer equity as well as market, organizational considerations and/or applicable collective bargaining agreement when extending an offer.

USD $90,000.00/Yr.


Maximum Salary

USD $105,000.00/Yr.
